The Human Resources Coordinator and Receptionist is responsible for completing a variety of human resources-related tasks, while also serving as the Receptionist at the Morris Cerullo World Evangelism (MCWE) Corporate office. This position assists the HR Director in performing office and benefit administration, recruiting, onboarding, training, maintaining policy and legal compliance, and providing excellent customer service. Applies specialized training, experience, and knowledge. Must maintain confidentiality, be able to work the assigned schedule, attend staff Chapel which is incorporated within our Friday workday schedule, and adhere to the tenets of the Christian faith.

PRIMARY RESPONSIBILITIES:

Receptionist Duties

  • Serves as the Director of First Impressions for anyone contacting the company by phone or in person.

  • Greets guests, issues visitor badges, and connects them with the appropriate party.

  • Answers the phone in a timely manner and directs calls to the correct party.

  • Edits and distributes the company directory to staff and leadership as applicable.

  • Manages multiple calendars (e.g., HR Department, Conference Room Reservations, benefits eligibility, birthdays, employment anniversaries, vacation schedules, kitchen assignments, etc.).

  • Ensures that the lobby is well maintained (e.g., current flyer, couch pillows and armchair covers straightened, etc.).

Office Administration

  • Liaises with and works alongside personnel in all functional areas within the organization (e.g., staff, supervisors, managers, directors, and executive leadership) on a regular basis.

  • Inventories and orders office supplies for the HR Department.

  • Performs data entry in the company's Human Resources Information System (HRIS).

  • Creates and maintains digital and hardcopy files.

  • Updates budget tracking resources with relevant expenditures.

Talent Acquisition

  • Posts job openings in the Talent Acquisition module of the company's HRIS system, company website, and various career sites (e.g., Indeed, Zip Recruiter, etc.).

  • Reviews applicant submissions to ensure thorough completion of our Application for Employment and follows up with applicants when needed.

  • Completes candidate disposition once requisitions have been filled.

  • Maintains applicant tracking reports.

  • Completes reference and background checks and conducts pre-employment assessments for applicable positions.

Miscellaneous

  • Performs HRIS data entry and reporting functions.

  • Reads, understands, and informs employees of the details associated with the company's practices, policies, procedures, and benefit plans.

  • Completes Eligibility for Employment (I-9) forms ensuring accurate completion and compliant retention.

  • Assists the HR Generalist in compiling new hire orientation packets, hosting orientation meetings, and processing all relevant forms.

  • Hosts ergonomic and workplace safety training for new hires and other employment-related training for the U.S. workforce as appropriate for the various job functions.

  • Maintains digital and hard copy training records.

  • Plans, schedules, and implements employee events (e.g. Lunch and Learn, birthday and employment anniversary acknowledgments, Employee of the Quarter and Year celebrations, and other staff events.

  • Interfaces with the Accounting/Payroll Department when processing payroll deduction changes and vendor invoices.

  • Inventories and orders of all kitchen supplies for the company.

  • Executes special assignments and tasks under only general supervision.

  • And other duties as assigned.

QUALIFICATIONS:

  • Minimum of 2 years of experience working in a full-service HR Department

  • High School diploma

  • Bachelor's degree in a related field is a plus.

  • Type 45 WPM

  • Intermediate computer skills and proficient with MS Office (e.g. Word, Excel, PowerPoint, and Outlook)

  • Prior HRIS experience mandatory; familiarity with Paycom HRIS is a plus

  • HR Certification is a plus

  • Excellent attention to detail and double checking work to minimize errors.

  • Excellent interpersonal skills is extremely important (e.g. in person, on the phone, and through all written correspondence).

  • Must maintain excellent customer service on a consistent basis.

  • Ability to follow written or verbal instructions and complete work accurately, thoroughly while meeting tight deadlines with minimal supervisory oversight.

  • Excellent written and verbal communication skills.

  • Excellent organizational skills and time management.

  • Ability to prioritize workload, multitask, think creatively, and problem solve.

  • Ability to read and write in English and do basic math.

  • Ability to work independently and as a team member.

  • Ability to be confidential and demonstrate ethical conduct.

  • Must be detail-oriented.

  • Must possess great time management skills.

WORK ENVIRONMENT:

This job is performed in an office environment. This role routinely uses standard office resources such as: computers, phones, filing cabinets, copiers, and printer/fax machines.

PHYSICAL DEMANDS:

This is primarily a sedentary role; however, some walking, standing, bending, and lifting up to 30 lbs. may be required. The physical demands described above must be met by an employee to successfully perform the essential functions of this job.

POSITION TYPE AND HOURS OF WORK:

Full-time, non-exempt position. Hours of work are Monday through Friday, 7:00 a.m. to 4:00 p.m.

TRAVEL:

Travel is not anticipated for this position.
