Position Title: HR Coordinator

Location: Remote Preference to be Washington or Minnesota-based

Job Type: Part-Time, Hourly

Job Summary:

We are seeking a motivated HR Coordinator to join our People Team at WellHaven Pet Health. This role will support our Human Resources department in various administrative tasks and projects. The ideal candidate will be enthusiastic about contributing to the success of a growing organization, possess strong organizational skills, and have a keen eye for detail.

Key Responsibilities:

Onboarding:

  • Support new hire onboarding activities including equipment ordering, email set up, and for I-9 verification.

  • Verify background check flags and provide alerts as appropriate.

M&A:

  • Upload new team members into HRIS.

  • Create, edit, send, and file documentation for new team members, such as offer letters, addendums, and bonuses.

Compensation:

  • Assist with annual compensation review and increase project.

  • Research market compensation by job description and jurisdiction to provide guidelines for salary ranges.

  • Create quarterly salary addendums.

  • Respond to Verification of Employment / Income inquiries.

Compliance:

  • Ensure compliance with HR policies and procedures.

  • Coordinate internal HR compliance audits; including: Form I-9, HRIS fields, Signed Offer Letters, OSHA logs, workplace posters; etc.

  • Support annual employee handbook review and redistribution project.

  • Assist with annual reporting requirements to EEO, OSHA, etc.

HRIS Maintenance:

  • Maintain and update team member personnel files; accordingly, including review of all employment offer letters, addendums, handbook acknowledgements, etc.

  • Update DVM and Technician Licensing body, expiration date, school, and graduation year (quarterly).

  • Review and update team member classification (bi-annually).

  • Provide reports as needed or requested from Campus team members.

Benefits:

  • Assist with benefits administration and enrollment processes.

  • Auditing 401(k) changes each pay period.

  • Approvals for benefit enrollments in Paycom (weekly).

  • Auditing benefit invoices (monthly).

  • Sending ACA emails (monthly).

  • Scheduling and sending Benefit webinar emails to eligible team members (monthly).

  • Main support to Benefits Specialist during Open Enrollment (annually).

  • Supporting 401(k) audit process (annually).

General:

  • Manage and route email inquiries from the general HR inbox to the appropriate People Team member, or hospital leader.

  • Handle general HR inquiries and provide administrative support to the HR team.

  • Ensure compliance with HR policies and procedures.

  • Perform other duties and special projects as assigned.

Qualifications:

  • Currently enrolled in, or recent graduate from an associates or bachelors program in Human Resources, Business Administration, or a related field preferred.

  • Prior experience in an administrative role or internship is a plus.

  • Basic understanding of HR functions and principles.

  • Proficient in Microsoft Office Suite (Teams, Word, Excel, PowerPoint, SharePoint).

  • Excellent communication and interpersonal skills.

  • Strong organizational skills and attention to detail.

  • Ability to maintain the highest level of confidentiality and handle sensitive information with discretion.

Schedule and Compensation:

  • Part-time position, approximately 20 hours per week.

  • Hourly wage commensurate with experience -- $23.00 25.00 per hour.
