Position Summary:

This position is responsible for the Human Resources Department Service Window, is responsible for the HR File Room and assists the HR team when needed.

Essential Duties and Responsibilities:

The essential functions include, but are not limited to the following;

  • Assist with the coordination and distribution of HR property communications.

  • Participate in and support Team Member annual events.

  • Answers incoming calls and provides assistance to all internal and external guests.

  • Manage daily oversight, organization, resources and all timely filing of the Personnel File Room. Partner with HR Team Members to ensure adequate backup and coverage (including developing a filing plan for heavy volume periods such as Handbook Acknowledgements, Performance Appraisals etc. for HR management approval).

  • Manage, complete, and maintain timely schedules for employment interviews, training, Suspension Pending Investigations, and distributes New Hire documents/paperwork, as assigned.

  • Performs other duties as assigned.

  • Receive, date stamp, sort, distribute, pick up, and ensure the proper and systematic distribution of incoming/outgoing mail and HR documents in a timely manner.

  • Assist with the administration and delivery of new hire/employment related drug tests.

  • Manage the communication, administration, and implementation of the public Team Member Bus Pass Program.

  • Comply with Company and Human Resources confidentiality, ethical requirements and Team Member Handbook policies and procedures.

  • Maintain confidentiality and ethical requirements according to the Team Member Handbook.

  • Order and maintain various department supplies and inventory. Reconcile and process departmental invoices.

  • Arrange and track travel for HR Team and applicants, as needed.

  • Consistently cultivate positive, fair and good team relations by timely directing questions, issues and feedback to HR Management and Team Members.

Schedule: Monday through Friday, 8-5 Location: South Hills of Pittsburgh (Baldwin/Whitehall) Level: Prior office experience, with on the job training JOB SUMMARY : * Perform time sensitive HR administrative duties including document management (auditing and indexing), employment verification, new hire document compliance & resolution, and employee communication mailings. Administrative Responsibilities * Manage the processing of employment documents ,including data integrity maintenance. * Review incoming HR documents in electronic management system and index and file accordingly. * Ensure compliance and thoroughness of submitted HR documents. * Follow up with managers/supervisors regarding pending or incomplete HR documents. * Enter time sensitive payroll related information into the ADP HR system. * Field calls from employees and forward to proper department or HR contact for resolution. * Complete written employment verification requests. * Prepare mailings (printing , envelope, postage) for routine employee communication pieces. EDUCATION & EXPERIENCE: * Proven experience working under strict deadlines * Preparedness to handle competing priorities * Strong attention to detail, accuracy required, as well as sense of urgency * Experience with a robust pacing of data entry is preferred * Proficiency in MS Office applications (Word, Excel) * Minimum 1 year office experience in similar role * High school diploma required; Associate's degree preferred. * Effective team player with strong interpersonal communication skills * Strong customer and results orientation * Proactive and effective communication skills both internal and client facing, including demonstrated presentation skills * Demonstrated leadership skills and initiative Education Requirements (Any) GED or H.S.
