Job Designation

The Human Resources Coordinator supports the day-to-day operations of the Human Resources department with the responsibility of providing customer service to a population of over 600 employees. Coordinates activities and performs administrative duties, while aligning tasks with the team's goals and business objectives.

Job Core Responsibilities

Human Resources Administrative Duties

  • Provides day to day administrative support to the Human Resources department with tasks such as filing, copying, and preparing materials for trainings and other HR related processes

  • Compiles and maintains personnel files; routinely files documentation to ensure personnel files are up to date

  • Maintains documentation relating to personnel activities such as, recruitment, training, performance evaluations and grievances

  • Schedules interviews according to candidate availability and hiring manager availability

  • Responsible for accurate data entry of personnel changes into HRIS system

  • Administers site Transportation Incentive Program

  • Prepares new hire packages and conducts new hire orientation meetings, schedules and tracks new hire training completion

  • Assists HR department with coordinating and hosting employee required trainings, including ethics training and open enrollment

Payroll Administrative Duties

  • Responsible for monitoring ADP E-Time timekeeping system for all employees to ensure accurate hours are reported for payroll processing

  • Maintains databases, reports and records that are necessary to support payroll activities using ADP Payroll Systems (PayForce)

  • Responsible for accurate processing and recording of the business payroll, prepares documents and disburses payroll checks

  • Prepares manual checks for terminations, bonuses, and other needs as they arise

  • Point of contact for employee questions regarding timekeeping and payroll, escalating questions to the appropriate resources for resolution

Benefits and General Administrative Duties

  • Point of contact for employee questions regarding company benefits, assists new hires with benefit enrollment, assists employees with benefit changes, escalates questions to the appropriate resources for resolution

  • Assists in coordinating Annual Enrollment training meetings and helps employees through the Annual Enrollment process

  • Team representative for company Wellness program, prepares communications to employees regarding program activities and changes, point of contact for employee questions

  • Participates in coordinating company events

  • Provides back-up coverage for front desk receptionist daily to allow for required lunch and break times, as well as during absences

  • Communicates effectively through phone, e-mail and correspondence, while maintaining a professional manner

  • Carefully handles sensitive and confidential information/situations and documentation

  • Other responsibilities as assigned

  • Regular, consistent and punctual attendance is required. May need to work nights and weekends, variable schedule(s) and additional hours as necessary

Job Specifications

Education Post-secondary degree or equivalent combination of relevant education and work experience that will allow successful performance of job expectations

Years Experience 2 or more years of relevant experience

Skills

  • Knowledge and experience in human resources processes and the ability to coordinate activities for a team

  • Excellent internal and external customer service skills

  • Strong attention to detail, good organizational skills and the ability to prioritize with changing situations

  • Ability to recognize and solve typical problems and select solutions from established options

  • Good interpersonal, verbal and written communication skills to drive tasks to completion

  • Proficient in Microsoft Office Suite

  • Experience using ADP Payroll systems (ADP, eTime)
