Rainbow Rehabilitation seeks a skilled benefits expert to join our amazing Human Resources Team! The HR Associate/Benefits Specialist is a Part Time role averaging 20 hours per week. While the working schedule is flexible; the successful candidate will need to adjust their days and hours to present at the new hire orientations. During busy times (ie, benefits enrollment); we would expect you to work additional hours to service our wonderful multigenerational staff. Administers employee benefit programs including, but not limited to, medical, dental, vision, disability, life/ADD, other voluntary benefits including 401(k), and flexible spending and health savings accounts.
Responsible for the open enrollment and new employee/newly benefit eligible enrollment process of all benefit programs.
Coordinates the benefit enrollment process, communications and online enrollment set-up.
Coordinates the benefits cycle including participating in the benefit open enrollment planning, ACA reporting and plan audits.
Collaborates on the design and distribution of materials for benefits orientations, open enrollment and summary plan descriptions and coordinate efforts with the Third-Party Administrators.
Ensures benefit provisions are properly applied for employees and their families in the event of employee termination, life event, disability, accident or death.
Explains benefits and responds to questions by conducting meetings, preparing announcements and communications, and responding to requests
Maintains benefits setup and employee information in the HRIS. Test system functionality and work with end users to provide system support and troubleshoot system problems.
Ensures accurate benefit information is entered into the HRIS.
Communicate with Payroll regarding employee inquiries and other changes impacting pay.
Ensures enrollment reports for benefit plans are transmitted to vendors. Monitor and resolve any error files between the HRIS and our benefit carrier-related interfaces.
Monitors billings to ensure accuracy. Audits plan enrollment, employee deductions and vendor reports.
Verify the calculation of the monthly premium statements for all group insurance policies and maintain statistical data relative to premiums, claims and costs.
Process additions and terminations to monthly group medical, vision, and dental billings and voluntary benefits through the HRIS.
Partner with IT to ensure accurate transfer of electronic files to benefit vendors.
Assists in administration of 401(k) program with the benefits team. Submits data and documents to the appropriate trustee/plan administrator, and/or fiduciary.
Assists with monitoring Rainbow's compliance with federal, state, and local legal requirements and keeps updated on legislative changes.
Maintains accurate and updated documentation related to all benefit plans and ensures compliant distribution of benefit plans and required notifications to employees.
Ensures distribution of required employee notices.
Documents and maintains administrative procedures for assigned benefits processes.
Assist in the annual 401k plan audits, annual non-discrimination testing and provide customer service to plan participants and beneficiaries.
Must possess a comprehensive knowledge of Human Resources, Health & Welfare Benefits administration, as normally obtained through an Associate's Degree and two (2) years of experience in an HR specialist or customer support role in a high volume work environment or an equivalent combination of education and experience.
Knowledge and understanding of all laws, practices and procedures regarding Health, Life, Disability, FSA and supplemental Insurances.
Knowledge and understanding of all laws, practices and procedures regarding COBRA, IRS Section 125, ACA and ERISA.
Knowledge and understanding of HRIS systems.
Knowledge and understanding of reconciliation of payroll deductions, arrears and other forms of payment for weekly and monthly invoices, and billing for benefit plans offered.
Proficient with Microsoft Outlook, Word, Excel, PowerPoint.
Criminal history must be acceptable under the State of Michigan's Good Moral Character Statute.
Bachelor's degree in Business Administration, Business Systems, Human Resources or related field is preferred.
A CEBS or PHR, SHRM-CP certification is preferred.
Experience with ADP Workforce Now HRIS system.
Knowledge for 401(k) or 403(b) plan administration.
