Your Challenge

The Philips People Services Administration Specialist acts as a single point of contact for all stakeholders throughout the background check and I9 process. This includes proactive outreach and support for the vendors, candidates, and the Talent Acquisition community. You will need to ensure an efficient and effective background and I9 process.

Your Responsibilities:

  • Responsible for monitoring the Background Check and I9 verification process, verifying results, escalating and solving process issues.

  • Responsible for communicating BI and I9 results to recruiters and senior HR Leadership team and following up on unclear results. Supports team in the entry of new hires in WD and GV.

  • Complete Supervision over daily tasks, including daily check-in with team lead to go over work for the day, no decision making outside of decision matrix, no complex decisions without alignment with manager / superior colleagues

  • Escalation of main problems to correct stakeholders - investigation of root causes and responsible to solve smaller problems that lay within own process.

  • Supports recruiters and other stakeholders by answering or escalating questions.

  • Candidate is expected to perform On-boarding duties as assigned

The ideal candidate for this role will be one that is open minded, service and solutions oriented and has a good understanding of Philip's onboarding process and new hire as well as hiring manager needs.


  • No functional experience required.

  • Must have the ability to manage several moving parts and competing tasks.

  • Precise and detail oriented in Data Entry tasks

  • Holds a Bachelor's Degree

  • Customer focused and solution oriented.

  • Team Player/open communication.

  • Adaptable/able to operate in a changing environment.

  • Excellent communication skills/ability to interact with employees on all levels.

  • Attention to details/data quality.

  • Ability to understand and analyze processes.

  • Ability to identify and resolve problems (troubleshooting).

  • Ability to juggle competing priorities and work well under pressure.

  • Ability to work independently.

  • Basic System knowledge in Workday and ADP GV

UltiPro and Business Intelligence report writing experience preferred. * Strong interpersonal, verbal and written communication, analytical and organization skills required; attention to detail is essential. * Confidentiality and professionalism are essential.
