Portland'5 Centers for the Arts is a leader in expert venue management, overseeing the Arlene Schnitzer Concert Hall, Keller Auditorium and Antoinette Hatfield Hall, which includes the Brunish Theatre, the Newmark Theatre and the Dolores Winningstad Theatre.

Home to arts organizations such as Broadway in Portland, Oregon Ballet Theatre, Oregon Symphony and Portland Opera, Portland'5 is among the largest performing arts centers in the US with approximately 1,000 performances and 900,000 attendees annually and generates an average of $60 million in regional spending and more than 700 jobs each year.

The five theatres at Portland'5 have showcased countless events over the years including Broadway shows, concerts, comedy shows, plays, children's theatre, lectures, dance and much more. We're looking for a highly skilled, dedicated, and motivated part-time (event driven) House/Event Manager, who enjoys leading large teams while providing outstanding customer service for a variety of events and audiences that occasionally eclipse 2,500 patrons.

As the House/Event Manager you will coordinate and oversee all aspects of services provided to clients and patrons during assigned events. You will act as a facility liaison to clients and staff to provide direction, information and assistance during events including music and comedy concerts, Broadway, plays, dance, lectures, seminars, receptions, meetings and other events and performances. Additionally, in this role you will ensure compliance with established policies, procedures, programs and services, direct the workforce by providing coaching and guidance and make on-the-spot management decisions.

As the House/Event Manager you will:

  • Manage, coordinate and oversee in-house and contracted services, such as security, catering and admissions, provided to clients during assigned events.

  • Coordinate special needs of promoters, road company staff, and artists on site to ensure event ingress, intermission, seating of late audience arrivals, and egress occur at proper times; instruct and briefs entire staff regarding pertinent event-related information

  • Manage, coordinate and oversee the work of admissions staff, operations staff, volunteers, and security services (in-house, contracted, and coordination with outside agencies as needed) of up to 75 people during assigned events.

  • Provide assistance to management in achieving work group success.

  • Resolve event problems, field complaints, deal with unruly patrons or such individuals not associated with the event and extend appropriate care to patrons with disabilities.

  • Offer aid, initiate chain of command by contacting appropriate personnel and agencies in the event of building or event problems, medical emergencies, accidents or disasters.

  • Inspect public areas of facility before, during and after event to ensure cleanliness and compliance with safety standards.

  • Prepare written evaluations of each event, maintain accurate and complete records; produce various reports including incident, repairs and disciplinary.

  • Prepare preliminary event financial settlements within established guidelines and timeframes; records and compute hours worked for admissions, security and medical staff for payroll purposes, and client invoicing.

  • Maintain accurate and complete records; produce various reports; may handle cash.

Attributes for success:

  • Experience with operations, services and activities of a public assembly facility or related facility.

  • Experience with principles, procedures, methods and techniques of event management.

  • Microsoft Office applications (Word, Excel) and experience with database management programs.

  • Make appropriate decisions and lead others in emergency situations.

  • Interact effectively with diverse groups of promoters, clients and the public and remain calm, professional, and polite even when dealing with rudeness from others.

  • Analyze information and use logic to resolve issues and problems.

  • Outstanding ability to communicate clearly and concisely, both orally and in writing.

  • Prioritize and multi-task; organized and flexible to change course of work/projects as circumstances dictate.

  • Recognize and evaluate various options and opportunities and determine the most effective course of action.

TO QUALIFY:

Minimum Qualifications:

  • Associate's Degree in public relations, business administration, performing arts or related field; AND

  • Two years responsible supervisory and customer service experience in event management for a comparable public assembly facility; OR

  • We will consider any combination of education and experience that provides the necessary knowledge, skills, and abilities to perform the duties and responsibilities of the position

  • Possession of, or the ability to obtain, a Cardio Pulmonary Resuscitation (CPR) Certification

  • Ability to work various hours, including evenings, weekends and Holidays.

  • Previous lead or supervisory experience in a unionized environment.

COMPENSATION, BENEFITS AND REPRESENTATION

The full salary range for this position is step # 1, $31.92 per hour to step #7, $42.77 per hour. However, unless a candidate's qualifications justify, based on the Oregon Pay Equity Act requirements and Metro's internal equity review process, the appointment will likely be made between Step # 1, $31.92 per hour to the equity range Step # 4, $36.95 per hour.

This position is eligible for overtime and is non-represented. It is classified as a House Event Manager.
