Job duties:

  • Manage day to day staffing requirements, plan and assign work

  • Educate and train all employees in compliance with governmental and safety regulations. Ensure staff is properly trained and has the tools and equipment to carry out job duties

  • Promote teamwork and quality service through daily communication and coordination with other department heads

  • May assist with deep cleaning projects and/or assist housekeeping staff during high volume periods

  • Inspect all assigned suites and public areas to ensure furnishings, guest rooms/suites, equipment, linens, and public areas are clean and in good repair to meet guest satisfaction. Advise employees of deficiencies and instruct on corrective action. Provide adequate retraining as needed

  • Routinely perform all housekeeping duties necessary including making beds, and vacuuming and cleaning guest suites to ensure guest satisfaction

  • Respond to guest complaints, special requests and ensure corrective action is taken to achieve complete guest satisfaction

  • Carry out special needs and requests of the guests, VIP's, and repeat visitors

  • Maintain and order supplies and equipment in a timely and efficient manner while minimizing waste and maintaining "green" initiatives (example: container recycling and cleaning agents)

  • May maintain procedures for security of lost and found items

VIEW JOBS 1/15/2019 12:00:00 AM 2019-04-15T00:00 Job Description The Encore Boston Harbor Hotel Admin Assistant will be responsible for performing administrative and office support activities for multiple supervisors within the Hotel Department; maintaining all Encore Standards; and ensuring excellent guest and team member experience. Specific responsibilities include: receiving and assisting department visitors, scheduling meetings, facilitating internal and external correspondence, note taking, and department record keeping. JOB RESPONSIBILITIES: * Ensures all Encore Boston Harbor core values and property and department standards are implemented and applied. * Participate in the execution of short-and long-term departmental goals, objectives, policies, and operating procedures; monitors and evaluates operational effectiveness; effects changes required for improvement. * Actively contributes to the departmental performance, and the accuracy, confidentiality, and thoroughness of departmental policies and procedures; records and reports. * Verifies that all applicable internal policies, federal and state laws, rules, regulations and controls property wide are followed and enforced within the department. * Ensures department delivers and maintains a maximum level of property-wide service and satisfaction. * Keeps informed of all new developments within the department. * Manages multiple priorities simultaneously and meets deadlines, often in stressful and high-pressure situations. * Fields telephone calls using professional phone etiquette, receives and assists visitors, uses word processing, creates spreadsheets and presentations, files, and faxes. * Assists with all aspects of administrative management, human resources, directory maintenance, logistics, equipment inventory and storage. * Manages inventory of assets and supplies, monitors critical level of stocks, sources for suppliers and submits invoice(s). * Coordinates between departments and operating units in resolving day-to-day administrative and operational problems. * Schedules and coordinates meetings, interviews, events and other similar activities. * Sends out and receiving mail and packages; document handling, sending faxes, and managing files. * Prepares business correspondence using Microsoft Office Suite. * Coordinates and books travel. * Prepares meeting minutes, meeting notes and internal support materials. * Works on special projects as assigned by management. * Works with safety as a priority, and follows department and company safety standards. * Maintains relevant knowledge of industry through continuing education and training. * Performs any other job-related duties as assigned. Must possess outstanding organizational, interpersonal, and administrative skills, as well as excellent attention to detail. Minimum 40 words per minute typing skills required. Language Skills: Ability to read, analyze, and interpret documents, such as policy and procedure manuals, maintenance instructions, and other related documents. Ability to respond to common inquiries from other employees or guests. Fluency in English required, second language a plus. Ability to write detailed instructions and correspondence. Ability to effectively present information in one-on-one and group situations. Mathematical Skills & Reasoning Ability: Ability to compute basic mathematical calculations. Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to decipher various reports and create and maintain reports upon request.
