This is a critical position on our Administration Team responsible for creating a welcoming environment and experience for all clients - both internal and external.

One of your primary goals will be to establish a streamlined catering & events process that takes into account budget, quality and overall experience. You take pride in cleanliness, tidiness and consistency but also enjoy changing things up such as catered menu selections, visual presentation of catered foods & locale and elevating events.

What does a Hospitality Coordinator do at R2C Group?

Coordinate events and logistics

  • Create save the dates - write draft copy for emails and calendar cards for approval

  • Track and manage budgets for events, update documentation as needed

  • Demonstrate a keen eye for detail

Manage client and internal meetings and catering

  • Manage incoming catering requests

  • Order, staff and set/clean up catered events

  • Maintain client catering database and catering supplies

  • Select/obtain client gifts

  • Manage client transportation needs (limited to cars)

  • Manage occasional client catering off-site (delivery orders)

  • Stay current on the local food scene: restaurant openings, new pop-ups, food carts, etc.

Play a key role on the Administration Team

  • Manage personal expense reports

  • Pickup/receive executive lunches and run various errands for administrative & executive teams

  • Provide general support to Admin team as needed

  • Provide frequent rounds of kitchens and restrooms to maintain supplies and cleanliness around Portland Campus

  • Regular maintenance and organization of closets, supply areas, kitchens and pantry

  • Provide support for desk/office moves and clean-ups, including but not limited to setting up new hire desks and cleaning out exiting employee desks

  • Cover reception for breaks, lunches and PTO

What makes a great Hospitality Coordinator at R2C Group?

ABOUT THE ROLE The Host team is seeking an experienced Customer Experience and Operations Professional to support Host's Global Lead of Hospitality & Community in providing world-class internal operational support to the Host by CBRE community. We are looking for someone well versed in hospitality and concierge service who is passionate about building teams, systems, processes and policies, among other training resources and other internal content. This individual will have proven experience in systems implementations, communications, and customer experience leadership. WHAT YOU WILL DO Empower Host teams with onboarding & training materials to ensure consistent on-site support: Build and maintain an internal knowledge base for quick reference to Host policies, expectations, and procedures - including subcategories for client-specific information Partner with our Training & Implementation team to establish a scalable, localized onboarding process to include Host hospitality training, client-specific uniforms and name tags, systems support, etc Own strategy for centralized services concierge - build knowledge base of local attractions and vendors that will enable virtual concierge team to provide useful recommendations to Host teams and clients Implement and support core systems for internal Host support team: Proactively research and implement an efficient Host client team system suite to ensure a consistent, tailored workday experience at all client sites. Provide systems training and support to Host client teams as needed for all systems, new and old Develop KPIs and clear reporting that will speak objectively to the success of the Host client teams. Admin Host hospitality system suite (noted above) and manage Host vendor relationships to ensure sustained efficiency and cost-effectiveness. Work cross-functionally with other parts of the Host team: Assist in vetting Host team recruits to confirm technical aptitude as well as cultural, hospitality fit Develop content that provides continual development to Host client teams in areas that include work other teams are completing along with systems update information, procedural changes, tracking of goals, and other hospitality themes. QUALIFICATIONS 5+ years of experience in a hospitality customer experience leadership role supporting distributed teams. Bachelor's degree and/or equivalent, professional training, and/or certifications. Proactive, communicative, organized, collaborative, and personable with a track record of working successfully across teams. Excellent writing and verbal communication skills.
