The Hospital Based Physician (HBP) Engagement Manager under the direction of the Director of Program Management, the HBP Engagement Manager is responsible for the development, maintenance and continued improvement of the process, technology tools, and standards that are utilized across the HBP Physician Resources Group (PRG). The Engagement Manager possesses a strong attention to detail and organization while managing several ongoing activities simultaneously. The Engagement Manager must maintain a customer-experience focus and demonstrate a strong technical propensity and commitment to supporting the use of technical and methodology-oriented tools and processes. The Engagement Manager ensures that the tools meet the needs of PRG, work properly, and are kept current. Additionally, the Engagement Manager will support multiple small or medium projects and consulting assessments in meeting their deliverables and objectives. The Engagement Manager will be responsible for communicating deliverable status, both verbally and written, to project stakeholders. Limited travel will be required.
DUTIES INCLUDE BUT NOT LIMITED TO:
Act as a primary resource within PRG for the teams Technical Tools Support, Administration, and Training. This includes, but is not limited to, leading training on contract pre-approval systems (PAWS), Salesforce (Aces) and Sharepoint. As these systems are used outside of PRG, the Engagement manager will be interacting with Division and/or Facility Leadership to conduct new user and refresher training courses as needed. This will require training materials, FAQ documents and all other collateral to be developed, maintained and distributed as necessary.
Act as a primary resource for the development, administration, and support of Salesforce (ACES) used by PRG. Assist in the development of, and ensure compliance with, standards for the use of ACES. Continuously look for opportunities to expand the use of this technology and the development of those solutions.
Work with a supervisor to continually develop and improve the documentation used within PRG to track and monitor cross functional projects and engagements. This includes reviewing the process, updating the documentation, implementation, and auditing the usage of those standards and tools.
Act as a primary resource for the development, administration, and support of SharePoint Teamrooms used by PRG.
For cross functional project work, the Engagement Manager will:
Manage multiple small or medium projects with moderate complexity
Author/facilitate project management documents such as project charters/scope statements, project plans, and present project updates to business owners.
Organize project activities into manageable work efforts for team members and determine an effective approach to completing the work.
Proactively identify and manage risks and issues.
Coach team members to clarify task assignments, milestones, and deliverables.
Manage business owner(s) and team member(s) relationships to accomplish project activities.
Monitor and report on project activities and report on status within published timeline. This includes development of a monthly status report.
Act as contract review coordinator for tiMED Application.
For engagement coordination, the Engagement Manager will:
Serve as the point of contact to continuously update assessment status and provide updates to management and clients
Request, review and distribute data, and discuss with HBP consultants, tracking the assessment and consulting process to insure timeliness, accuracy and delivery of consistent communication and information to all involved parties.
Coordinates multi-specialty Division Wide assessments and consulting engagements.
This position directs the logistical processes for consulting engagements by determining information required, and communicating process expectations in addition to gathering and distributing accurate data.
Status summaries produced include work process flow (for upcoming engagements), and tracks cost savings and cost avoidance derived from the engagements to HCA and HBP.
Customizes Requests for Proposals depending on the engagement and specialty. This may require developing new specialty-specific surveys and data requests.
Gather dashboard data for revenue and expense analytics
Work with PRG team to develop presentations, gather data needs, coordinate meetings, develop/attend on-site assessments, attend facility/division calls/meetings, develop contract summaries, manage requests for proposal process, and manage communication to facilities/division throughout engagement process.
Maintain facility and ASC vendor map monthly for 12 service lines, 170 facilities, 130 ASCs, including NPI request from major vendors on a quarterly basis.
Develop and distribute PRG Team Satisfaction surveys as requested.
Education and Qualifications:
Bachelor's Degree required
5 years project management experience, preferably in the healthcare industry
Financial services, hospital operations, supply chain, or IT experience a plus
