The Hospital Associate Supervisor Trainer supports the Hospital Associate Manager. The Hospital Associate Medical Billing Supervisor is responsible supervision, training and coverage for Hospital Associates and Hearing Screen Billers. The duties include: training new associates, overseeing timely account registration and billing, and providing site coverage if needed. The successful candidate will also travel to and be able to work closely with the medical directors and physicians at our hospital sites. Areas of responsibility include: performing quarterly quality audits, recruitment and training of staff, preparation and review of yearly evaluations and processing payroll/attendance for assigned units. The supervisor must be able to perform daily registrations and billing, preparing and submitting daily census and monthly statistics, work billing system/excel reports, and provide administrative support to Medical Director. Travel of up to 80-85% is required.

Responsibilities

Supervision of staff

  • Responsible for completing quality audits on individual Hospital Associates' work at least once per quarter.

  • With the Hospital Associate Manager, responsible for staffing within the region.

  • Perform probationary and yearly evaluations for departmental staff.

  • Complete all PTO request and submission of related documents, including timesheets to the Corporate Payroll department as required.

  • Participate in monthly telephone conference meetings with all of the Hospital Associates, Hospital Associate Manager and Collection Managers to allow best practice and other techniques to be shared.

  • Obtains feedback from the Collection Department on registration errors and works with the individual Hospital Associates to correct future errors.

  • Participates in annual Hospital Associates conference.

Acquisition and Associate training.

  • Train new Hospital Associates and Hearing Screen Billers related to an acquisition or new hire on all facets of their duties and daily responsibilities.

  • Retrain Associates on job performance related issues.

  • Train Associates on new systems, computer upgrades and changes in current programs.

  • In the case of a new acquisition, might need to function as a Hospital Associate for an extended period of time until a replacement is hired and trained.

Provide Paid Time Off (PTO) coverage for Hospital Associates.

  • Travel off-site and cover units that have approved PTO for more than three consecutive days.

  • Assist in covering local units during Associate's absences, when available.

Weekly Account Registration and Billing procedures

  • Review regional and Master Database reports to ensure all accounts registration and billing guidelines are being followed by each unit. (Hold Code Report, CPT by Facility/DOS Summary, Unbilled Report, HS Non-Billed CPT by Facility/DOS Report)

  • Work with Collection Managers and department staff on specific unit issues, where established registration and billing guidelines are not being followed.

  • Ensure that any changes to the account registration and billing processes is relayed to the necessary staff and that each employee is properly trained on the new procedures.

  • Ensure that all units have entered registration and billing data based on approved policy standards.

  • Completes projects, reports, etc. as requested by Regional Manager or Director.

Patient Accounts and off-site business relationships.

  • Assists in building relationships with hospital departments and personnel in new acquisitions, to aid in obtaining necessary patient data and processes.

  • Meet and offer assistance to Medical Directors during site coverage or regarding office issues.

  • Stay up to date on all departmental and procedural changes, with regard to Hospital Associates and Hearing Screen Billers tasks and daily functions.

  • Establish and maintain positive working relationships with Hospital Associate and Patient Accounts groups.

  • Assist the Manager with the planning and execution of the Annual HA and HSB Meeting.

  • Follows cost effective measures to ensure staying within the budget guidelines when traveling.

Performs necessary computer related tasks.

  • Understands GPMS computer system and is able to review account data for associate related errors.

  • Completely utilizes and understands all facets of OBR system.

  • Utilizes Microsoft Excel and Word programs to create spreadsheets and work on assigned special projects.

  • Creates and maintains Hospital Associate reference materials and tools.

Maintain strict confidentiality in accordance with HIPAA regulations and Company policy.

  • Any patient private health information (PHI) must not be divulged on any account except to payers that need the information in order to process the claim for payment.

Always presents a positive, professional appearance and conveys a professional demeanor in the performance of assigned duties.

Performs other job-related duties within the job scope as requested by Manager of Hospital Associates.

Qualifications

Associate's degree (A. A.) or equivalent from two-year college or technical school; or three or more years related experience and/or training; or equivalent combination of education and experience.

  • Ability to read, analyze, and interpret common and technical journals, financial reports, and legal documents. Ability to respond to common inquiries or complaints from customers, regulatory agencies, or members of the business community. Ability to write speeches and articles for publication that conforms to prescribed style and format. Ability to effectively present information to top management, public groups, and/or boards of directors.

  • Ability to work with mathematical concepts such as probability and statistical inference, and fundamentals of plane and solid geometry and trigonometry. Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.

  • Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
