Overview

The Home Health Senior Support Specialist/Clinical Assistant is a member of the Home Health Clinical Team. The Clinical Assistant is responsible for administrative functions that support staff and patient needs as well as regulatory compliance. Supports management and clinicians in the provision of Home Health or any additional product or service offered. Maintains a broad base of knowledge related to all aspects of home care operations.

Responsibilities

COMMUNICATION

  • Independently and effectively communicates with internal and external customers electronically, verbally, and in writing.

  • Communicates professionally and effectively.

  • Provides departmental telephone coverage.

  • Provides reception coverage (2nd in que)

  • Insures all incoming and outgoing information is communicated accurately, timely and in the appropriate manner.

  • Communicates to management any information requiring further attention.

CLINICAL SUPPORT

  • Assures physician orders are distributed for signature, tracked, scanned, electronically documented, and filed timely.

  • Completes 485 technical review and notifies supervisor and RN Care Manager of missing items.

  • Manage medical supplies, including ordering, inventory, storage, rotation, and expiration dates assuring visiting staff and patients receive supplies timely.

  • Assures all visiting staff have appropriate clinical bags.

DATA ENTRY, RETRIVAL, SUBMISSION

  • Independently performs data entry and retrieval in a variety of software applications and manual systems.

  • Independently generates identified reports and distributes them timely.

GENERAL OFFICE DUTIES

  • Anticipates management and department needs providing the appropriate support independently.

  • Keeps accurate minutes of meetings and distributes per deadline.

  • Maintains and distributes departmental calendars,

  • Insures the office is safe, clean, organized, secure and presentable to internal and external customers.

  • Looks for opportunities to improve the work environment.

  • Files documents according to established process for retrieval and safety.

  • Travels to assigned destinations for departmental business purposes.

  • Orders, stocks, maintains, records inventory for office supplies, medical supplies, forms and equipment.

  • Keeps all printers, copiers, fax and office equipment are stocked and user ready.

  • Keeps all common working areas stocked with supplies, equipment and forms.

  • Maintains performance, patient and employee satisfaction and financial standards as outlined in the performance evaluation.

  • Performs compliance requirements as outlined in the Employee Handbook

  • Must adhere to the DCH Behavioral Standards including creating positive relationships with patients/families, coworkers, colleagues and with self.

  • Requires use of electronic mail, time and attendance software, learning management software and intranet.

  • Must adhere to all DCH Health System policies and procedures.

  • Cross trained and is a back-up for reception

  • Cross Trained and is a back-up for Medical Records

Qualifications

High school graduate or equivalent required; basic math skills; prior clerical experience required; Microsoft Office Word and Excel basic skills preferred. Proficiency in Meditech, Outlook, Internet, PowerPoint experience and skill preferred. Must be able to comprehend complex situations and problem solve appropriately and professionally.

Must be able to read, write legibly, speak and comprehend English.

WORKING CONDITIONS

Is able to lift 20 pounds. Ability to sit for prolonged periods. Able to walk and climb stairs with occasional kneeling, stooping, reaching and required. Good manual and finger dexterity. Hearing and vision must be corrected to within normal range. Must have excellent written and verbal communication skills. Must be licensed and insurable to operate a motor vehicle and be able to travel to various locations. Ability to work basically Monday-Friday 8 am to 5 pm holidays, weekends, and after hours as patient care and/or departmental business requires.

Physical presence onsite is essential. Hearing and vision must be normal or corrected to within normal range. Able to perform the duties with or without reasonable accommodation.
