SUMMARY: The position will provide new hourly employee hiring support in a friendly and professional manner for the department and its personnel. The position requires independent judgement and decision making.

ESSENTIAL DUTIES AND RESPONSIBILITIES: The following duties and responsibilities are illustrative of the primary functions of this position and are not intended to be all inclusive.

  • Reviews applications for hourly job postings and coordinates the hourly hiring paperwork.

  • Determines if applicant is qualified for an interview.

  • Coordinates with management to schedule applicant interviews.

  • Assists with applicant interviews and reviews results with management.

  • Tracks applicant hiring status through database maintenance.

  • Provides communication to applicant on their hiring status.

  • Coordinates new hire paperwork through DocuSign process ensuring documents are completed correctly and proper documentation is received and recorded prior to being forwarded to Human Resources.

  • Ensures hiring documentation, orientation documentation and new hire packets are up to date.

  • Reviews and updates Job Descriptions, Requisitions and DocuSign documents annually.

  • Compiles records, logs, reports, and schedules.

  • Provides other administrative duties on an as needed basis.

  • Coordinates and administers other special projects as required.

  • May perform minor accounting duties.

QUALIFICATIONS: The requirements listed below are representative of the knowledge, skills, and abilities required to perform the necessary functions of this position.

  • Ability to grasp new processes and computer programs quickly.

  • Ability to understand and use accounting, inventory, document management, spreadsheet, database, registration and scheduling software, Microsoft products and general office equipment.

  • May require knowledge of State statutes and City codes.

  • Minimum typing speed of 50 wpm.

  • Knowledge of departmental policies and procedures and ability to interpret appropriately.

EDUCATION and EXPERIENCE: High school diploma or general education degree (GED) required plus a minimum of three years of progressively responsible clerical experience; or equivalent combination of education and experience.

LANGUAGE SKILLS:

  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.

  • Ability to write routine reports and correspondence.

  • Ability to speak effectively to customers or employees of organization.

REASONING ABILITY:

  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.

  • Ability to deal with problems reasonably and effectively.

CERTIFICATES, LICENSES, REGISTRATIONS:

  • May require a valid driver's license

PHYSICAL DEMANDS: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle, or feel; and talk or hear. The demands on the visual sense may be very high. The employee frequently is required to stand, walk, and reach with hands and arms. The employee is occasionally required to stoop, kneel, crouch, or crawl. The employee must frequently lift and/or move up to 10 pounds. May occasionally lift and/or move up to 50 pounds with the use of PPE.

WORK ENVIRONMENT: The work environment characteristics described here are representative of those an employee would encounter while performing the essential functions of this job. This job is predominantly performed in an office setting. The noise level in the work environment is usually moderate.
