Summary:

The High School Principal's Administrative Assistant will provide confidential and diverse secretarial and general office support for the high school principal to enable him/her to focus on matters related to education administration. S/he will facilitate smooth and efficient office operations.

Responsibilities:

  • Provide indispensable assistance and support to the high school principal. In addition, work collaboratively with the Associate Dean, Assistant Principal, and other main office and school staff members.

  • Provide a positive, courteous, and caring first impression for visitors or callers to the high school and arrange for their comfort.

  • Process correspondence, some of which may be confidential in nature. Generate and maintain records, reports and assemble into usable form; distribute as needed.

  • Plan, organize and coordinate and attend a wide range of events including high school registration, high school administrative meetings, interviews, school dances, senior honors ceremony, luncheons, conferences, and high school graduation.

  • Receive, screen and direct incoming calls, and mail; handle inquiries from residents, parents and other sources in principal's absence. Answer and route incoming phone calls. Initiate and respond to routine inquiries, resolve problems, and either assist the caller or transfer calls as needed.

  • Perform secretarial and clerical duties including word processing and date entry; use Google Applications as main platform; edit and proof correspondence. Responsibilities include multiple yearlong projects (student and staff accident reports, summer mailings, teacher handbooks, master schedule, office/classroom keys, Infinite Campus reports and other duties or projects as assigned).

  • Responsible for collection and training of others for the use of timesheets, special pay, extra duty requests and teacher contracts.

  • Technology troubleshooter and Infinite Campus support, place co-op and other orders for staff and other technology related duties as needed.

  • Schedule teacher absences on AESOP, maintain guest teacher folders, room keys, and guest teacher evaluations.

  • Copy, distribute and maintain student verification forms and emergency information, medical reports on specified students.

  • Assist in the main office with students by dispensing medication, contacting parents when necessary and caring for sick/injured students.

  • Manage the high school's social media accounts.

Qualifications:

  • BA degree, Associates degree, or high school diploma with additional training or related work experience. Five years related work experience preferred.

  • Must have the ability to operate with the highest level of integrity and professionalism in an office environment while handling and responding to various confidential/sensitive information and situations.

  • Excellent customer service, communication, and interpersonal skills required to interact effectively with students, staff, and general public.

  • Must have the ability to be a self-starter, problem-solver, and organizer. Have the capacity to prioritize, and work independently as well as schedule and produce work in a timely manner under strict deadlines. The ability to concentrate and pay close attention to detail is required.

  • Broad knowledge of district and school organization, operations, policies, and procedures.

  • Must have the manual dexterity to operate a computer, copy machine, and other equipment.

  • Must have the ability to work effectively and maximize available time in an environment with constant interruptions, perform several functions simultaneously and handle occasional calls from upset parents and members of the general public.

  • Assume responsibility and ownership for leading a warm and positive office environment that is student and customer centered.

  • Possess an encouraging, stable, and calm demeanor that will de-escalate and defuse situations and be flexible in order to adapt and adjust to the circumstances at hand.

  • Ability to attend some after hour events throughout the year is required.

Schedule:

  • Staff calendar plus 10 weeks
  • 8 hours per day

Compensation:

  • Level III - $15.26 - $17.85
  • Single Subscriber Insurance

This is a replacement position.
