SUMMARY

Oakwood School seeks a highly dedicated and detail-oriented High School Coordinator for College Counseling, Testing, and Community Outreach on a full-time basis during the school year. The role requires very strong organizational skills, excellent attention to detail, initiative, and the proven ability to maintain confidentiality regarding sensitive information.

ESSENTIAL DUTIES AND RESPONSIBILITIES

College Counseling

Actively working with the Director of College Counseling, the High School College Counseling Coordinator is responsible for significant aspects of College Counseling’s budget, communications, and events.

  • Budget
    • Draft and maintain College Counseling’s departmental budget, complete and process expense reports for the Business Office.
    • Maintain financial records.
    • Arrange travel itineraries for the Director of College Counseling.
  • Communications
    • Assist with publishing monthly newsletters and sending communications to families and students. 
    • Update College Counseling’s internal and external web pages.
    • Coordinate printing projects.
    • Maintain vendor relationships.
  • Events
    • Maintain College Counseling’s internal and external event calendars. 
    • Liaise with Facilities to arrange for necessary equipment, food and beverages, and locations for College Counseling events. 
    • Manage major events with the Director of College Counseling and oversee event-day logistics. 
    • Schedule, welcome, and host visiting college admission representatives.

Testing

Working collaboratively with the Head of School, High School Head and Principal, Director of College Counseling, and Student Support Counselor, the High School Testing Coordinator is responsible for coordinating all aspects of on-campus PSAT, SAT, and AP testing for Oakwood students. 

  • Serve as the primary point of contact between Oakwood High School and the College Board.
  • Coordinate the administration of all College Board exams on campus (PSAT, SAT, and AP):
    • Determine and submit timely and accurate test registration.
    • Prepare accurate billing information for the business office. 
    • Select proctors, schedule facilities, publish testing dates, create exam schedules, and secure testing materials for all test administrations.
    • Assign and train all exam proctors.
    • Package and mail exams back to the College Board, as necessary.
  • Work with the Student Support Counselor to request standardized testing accommodations from the College Board for qualifying students.
  • Attend webinars to stay apprised of the most current testing policies, procedures.
  • Communicate with appropriate colleagues regarding changes and updates to both traditional and digital testing platforms.
  • Coordinate exam administration details with the facilities and technology departments.
  • Answer parent emails or phone calls regarding test administration, and assists in resolving any discrepancies in student and/or score information, as they arise.
  • Work extended hours during peak testing times, as necessary. 

Community Outreach

On an ongoing basis, expand off-campus opportunities for Oakwood High School students.

  • Develop partnerships with local businesses, organizations, etc. that are interested in supporting Oakwood High School students in one or more of the following areas:
    • Internships
    • Research projects
    • Service learning
    • Paid employment
  • Research and catalog summer and study abroad programs that are well suited to Oakwood students and align with Oakwood’s mission.
  • In conjunction with the High School Principal and Senior Advisors, manage the Senior Project program, including application distribution and tracking, mentor screening, mid-project checks, and final presentation planning and coordination.

SKILLS

Required

  • Bachelor’s degree and 2+ years of relevant work experience.
  • Strong competency in computer software, including Microsoft Office, Excel and the Google Suite.
  • Strong attention to detail and ability to deliver high-quality work within specified deadlines.
  • Strong interpersonal skills and commitment to being part of a diverse, equitable, and inclusive school community.
  • Excellent communication and collaboration skills to work closely with cross-functional teams.
  • Ability to adapt to changing priorities and handle multiple projects simultaneously.
  • Self-motivated learner with a proactive attitude toward acquiring new skills.
  • Effective time management skills to meet multiple ongoing deadlines.
  • Ability to maintain absolute confidentiality and the integrity of all aspects of information disseminated within or external to the school community.

Useful/Preferred

  • Familiarity with the College Board and its suite of exams.
  • Event-planning experience.
  • Ability to stand, walk, stoop, kneel, crouch, and manipulate (lift, carry, move) 50 lbs.
  • Ability to perform repetitive wrist/hand/finger movement to work on computer and/or related office equipment.
  • Ability to work at a desk/computer for extended periods.
  • Ordinary ambulatory skills sufficient to visit other locations on campus.
  • Comfort working in an office environment with moderate noise levels.
  • Flexibility to work productively despite occasional to frequent interruptions.

COMPENSATION

This position has an expected salary range of $39,500-$51,350, which will be commensurate with education and experience.
