High School Administrative Assistant (Finance Secretary)- Glenwood High School

FSLA STATUS: Non-exempt

SALARY: $13.00 / hour + Benefits

REPORTS TO: Building Principal

EDUCATION / CERTIFICATIONS:

  • High school diploma or equivalent.

  • Ability to pass fingerprint criminal background check.

SPECIAL KNOWLEDGE / SKILLS / REQUIREMENTS:

  • 2 years experience as an Administrative Assistant

  • Effective oral and written communication skills

  • Operate standard office equipment

  • Read, learn, and interpret complex rules and regulations

  • Apply abstract rules to a wide variety of actual situations

  • Excellent interpersonal skills with the ability to exercise tact and diplomacy

  • Establish and maintain effective working relationships

  • Computer literacy (including but not limited to Microsoft Word and Excel).

  • Understand and solve problems within limits of own authority

  • Work under tight deadlines and maintain accuracy of work

  • Keep track of multiple projects simultaneously while managing multiple interruptions and still completing projects or work assignments on time

  • Exercises initiative

JOB GOAL: Under the direct supervision of the High School Principal provides administrative and secretarial support. In addition to typing, filing and scheduling, this position performs complex duties such as special reports; maintains the general accounting of the school checking account, student activity accounts; coordinates substitute teacher and substitute aides for high school staff. Also answers non-routine correspondence and handles highly confidential and sensitive information. Deals with a diverse group of external callers and visitors as well as internal contacts with all levels of the district. Independent judgment is required to plan, prioritize and organize a diversified workload.

PERFORMANCE RESPONSIBILITIES: Listed below but not limited to:

  • Provides Principal secretarial support.

  • General accounting of school checking account and student activity accounts.

  • Prepares documents and organizes administrative functions as they relate to graduation and opening of school.

  • Creates opening day materials for faculty, staff, students and parents.

  • Updates student emergency information as received.

  • Assists faculty, parents and students with questions and requests.

  • Assists Assistant Principal's secretary to extent time permits and needs of school requires.

  • Screens/Greets/Assists all calls and visitors for the Principal in a warm and cordial manner.

  • Maintains/Updates daily calendar for Principal; schedules appointments, accommodations for Principal.

  • Opens / Stamps/ Re-routes Mail / Faxes/ E-mail for Principal.

  • Maintains all appropriate correspondence files for Principal.

  • Composes and types memos, letters, correspondence, meeting agendas, meeting minutes, etc. for Principal.

  • Prepares complex reports.

  • Possesses appropriate computer skills and continues to develop appropriate technology skills necessary to perform various tasks.

  • Confirms time off availability for staff and request subs for teachers and aides.

  • Keeps record of teacher absences and file report to payroll each pay period.

  • Obtains substitutes as necessary.

  • Maintains confidentiality.

  • Performs other duties as assigned by the Principal.

TERMS OF EMPLOYMENT: Salary and work year in accordance with recommendations established by the Superintendent of Schools and immediate supervisor.

WORKING CONDITIONS:

Mental Demands: calculating, comparing, evaluation, interpreting, organizing, consulting, analyzing, planning, documenting, specifying, coordinating, implementing, and presenting.

Physical Demands: bending, stooping, kneeling, twisting, reaching, sitting for prolonged periods of time, standing, walking, lifting, finger dexterity, grasping, repetitive motions, talking, hearing and visual acuity, ability to read and write, ability to speak and understand the English language.

Environmental Conditions: The work is performed primarily indoors.

Accurately order, maintain and inventory medical supplies yearly. Maintain security of school health supplies, equipment and facilities. * Make reasonable and prudent decisions regarding student or employee injuries or illness. * Provide first aid care to students and staff as indicated. This includes emergency nursing services that may be required until other emergency medical services arrive. * Make reasonable and prudent decisions in regards to reporting child abuse to DCFS. * Inform building administration of all serious injuries, suspected contagious illnesses, and suspected abuse situations. * Work in a courteous, cooperative and professional manner with co-workers and other employees, administrators, parents, and the public. * Obtain, organize, and present in proper format to District Office all pertinent information required by federal and state law. This includes student immunization and physical exam data, vision and hearing data, as well as dental and eye exam data when appropriate. * Maintain an accurate health record for each student including current immunization and physical examination information, and data regarding medical problems. * Demonstrate basic computer knowledge in the use of databases, word processing and spreadsheets.
