This position is responsible for supervising and coordinating the functions of the day-to-day operations of the HIM Department. The incumbent is responsible and accountable for providing leadership and management for the team by establishing standards in conjunction with the HIM Corporate and Facility Leadership.
The HIM Supervisor is responsible for hiring, training and scheduling employees under his/her supervision, and for conducting performance evaluations of associates. Ensures that associates provide courteous, efficient service to all customer groups in order to maintain a positive image of the facility HIM Department. This position manages and secures patient records in compliance with the regulatory standards for electronic and traditional medical storage of patient health information as well as insuring information is released in accordance with regulatory, licensure and federal mandates.
Provides guidance and development of the electronic health record. Supervises associate activities related to EHR, imaging, storage/retrieval, analysis, birth certificates processing and release of information. Monitors compliance with accrediting and regulatory agency requirements.
Maintains HIM data systems and assists with budget preparation. MAJOR DUTIES/RESPONSIBILITIES & ESSENTIAL FUNCTIONS* Assists the EHR Site Director to achieve the goals, objectives, policies, procedures, and standards of performance to measure the operational efficiency and effectiveness of the Health Information Management Department.* Assumes responsibility for assigned area of specialty for the technical accuracy and completeness of the EHR; assures consistency in the acquisition, storage, retrieval, dissemination of medical record information, regulatory reporting requirements, physician suspension process, etc.* Supervises and trains associates; evaluates the work performance of subordinate associates; provides in-service training to departmental associates as required.* Facilitates timely and accurate completion of medical records based on OH policy to include: chart retrieval, document preparation for scanning into the electronic document management system, indexing documents, minimizing duplicate records and overlapped entries, verification of data integrity, and quality control to ensure image quality and indexing of scanned documents.* Provides leadership, motivation, training, orientation, counseling, development, scheduling, performance evaluations, and hiring. Performance management, rewards, and provides adequate training and assures competence of direct reports.* Plans, recommends and assists in conducting Department meetings for HIM staff.
Conducts and maintains department training for Electronic Health Records.* Plans appropriately for workload and utilizes resources efficiently. Assures quality customer service by addressing issues/problems immediately. Supports staffing goals and is pro-active in assuring quality and timely work is produced.
Ensures adequate coverage at all times of Department. Oversees implementation of continual validation processes to accurately document, trend and correct critical errors and ensure that complete medical records are scanned timely and accurately.* Oversee and direct the birth registry process to ensure that accurate data is collected, documented and transmitted to the State as mandated by State law and OH policy.* Develops processes proactively and seeks operational solutions to ensure excellence in the delivery of departmental functions, which may include the introduction of new technology.* Accountable for continuous assessment, standardization (i.e. training, policy review, etc.) and improvement of the EHR processes in a team environment.* Develops, coordinates and manages the electronic health records (EHR) system while implementing policies and procedures that improve and support the revenue cycle, organizational goals and business objectives. Responsible for testing and making recommendations for modification of the EHR.
Responsible for quality and quantity reviews to assure standards are met in all areas and training needs are identified. Addresses performance problems in timely and appropriate manner.* Maintains knowledge of pertinent accreditation regulations and assures departmental compliance. Cooperates with on-site accreditation inspection teams.* Participates in and promotes a positive, supportive, cooperative team environment. Works across and coordinates with diverse departments regarding the interdisciplinary aspect of the HER* Serves as a HIM representative to the medical staff; ancillary departments and other health care facilities; interprets application of federal and state regulations, particularly those affecting patient records; participates in professional activities and keeps abreast of developments in the Health Information Management field; participates in hospital staff meetings and committees as requested.
MINIMUM QUALIFICATIONS* Associate or Bachelors Degree in Health Information Management with credentials of RHIT or RHIA. Requires a Registered Health Information Administrator (RHIA) in active status with American Health Information Management Association (AHIMA) and 3-5 years of HIM directly related experience.
Those with Associates Degree in HIM and a RHIT Certification with 5-8 years related experience.* Previous management experience in a medical or hospital setting. Excellent communication and organizational skills, experience with computers and health record/information processes* Advanced knowledge of HIM accrediting agency requirements and associated regulations.* Excellent verbal and written communication skills in order to provide electronic health record training and create associated written procedures, processes.* Computer proficiency with word processing, database and spreadsheet software, intranet and internet functionality.* Excellent customer service orientation skills necessary in order to deal effectively with various levels of hospital personnel, outside customers and community groups.* Experience working with an Electronic Health Record (EHR)* Strong interpersonal skills and verbal/written communication skills.* Strong knowledge of Microsoft Office Suite* Knowledge of medical terminology.* Ability to think/work independently with minimal supervision, yet interconnect with team.* Ability to manage multiple competing priorities and multi-task as necessary to ensure deliverables/deadlines are met. Demonstrates effective communication and good working relationships with the medical staff, interdisciplinary departments, other hospital personnel, and internal and external customers of the HIM Operations Department.* Experience with regulations and accreditation standards, knowledge of specific state and federal requirements and standards related to health information management.* 2 yrs. leadership role in Health Information Management experience in a hospital or healthcare system.DESIRABLE QUALIFICATIONS Associate or Bachelors Degree in Health Information Management with credentials of RHIT or RHIA.
EPIC EMR experience.* Previous management experience in a medical or hospital setting.* Excellent communication and organizational skills, experience with computers and health record/information processes.* Must have moderate or advanced computer experience and proficiently navigate multiple hospital software systems (i.e. Windows based experience, Microsoft applications, electronic medical records, etc.).* Requires knowledge of HIPAA, state, federal guidelines, and hospital policies and procedures.* Advanced knowledge of HIM accrediting agency requirements and associated regulations.* Excellent verbal and written communication skills in order to provide electronic health record training and create associated written procedures, processes.* Computer proficiency with word processing, database and spreadsheet software, intranet and internet functionality.* Excellent customer service orientation skills necessary in order to deal effectively with various levels of hospital personnel, outside customers and community groups.* 2 yrs. in leadership role in Health Information Management or Medical Records Department.
