Students must maintain strict adherence to patient confidentiality and privacy regulations (such as HIPAA) while handling medical records, appointments, and inquiries. This helps them understand the importance of safeguarding sensitive information and follow all necessary protocols.
Students can improve organizational skills to efficiently manage tasks and responsibilities at the front desk. They learn to prioritize duties, create schedules, and utilize productivity tools to ensure timely completion of administrative tasks while also attending to visitors and phone calls.
Students learn to maintain a professional demeanor, dress appropriately, and adhere to the health and counseling center's code of conduct and policies. Students learn to display integrity, honesty, and ethical behavior in all interactions with colleagues and visitors.
Teamwork Students learn to foster a collaborative work environment by actively participating in team discussions, contributing ideas, and supporting colleagues. Students learn to develop effective teamwork and collaboration skills to enhance overall productivity and create a positive work atmosphere.
Technology: Expand their knowledge of the healthcare system and available resources. Students should take the initiative to familiarize themselves with the Health Center's services, EMR usage and referral procedures. This will not only benefit their own understanding of the healthcare system but also enable them to assist patients more effectively by providing accurate information and guiding them to the appropriate resources. Additionally, students can explore opportunities to learn about healthcare trends, emerging technologies, and public health initiatives to stay informed about the broader healthcare landscape.
Health and Counseling Center Front Office support including but not limited to:
Supervise and manage front desk while providing back-up and lunch coverage when the Administrative Support Specialist is out of the office
Answer incoming calls per office protocol
Greeting employees/students/parents
Assist with registration procedures for health and counseling services (including scheduling appointments, maintaining confidentiality, etc.)
Assess if a student is in a medical or mental health crisis and manage situation appropriately according to office protocol
Assist with office administrative support such as data input into Word/Excel, filing paperwork, scanning documents, Electronic Medical Record support, etc.
Assist with compiling weekly/bi-weekly Health Center data
Keep Inventory of office forms, supplies, etc.
Update and replace forms on regular basis or as needed
Assist with restocking of clinical supplies
Assist the Health & Counseling Office as well as Active Minds
Supervision of Health Center run clubs (Common Bonds, Gannon's American Red Cross, and Tru+ (the offices' associated student organizations) with educational outreach programming, which may include tabling on campus, planning/scheduling speakers, assisting with presentations
Assist with our social media pages and promotion of Health and Counseling events (creating flyers, etc.)
Other assignments and duties as assigned
