The Health Center Manager provides direct leadership in the clinic in collaboration with the Senior Director of Health Services. Primary responsibilities include creating a culture where the norm is high-functioning team(s) who provide evidenced-based qualitycare resulting in exceptional customer service. Other responsibilities include identifying opportunities for clinic growth, managing the clinic business and administrative functions, serving as a leader both in the clinic and the affiliate, facilitating processesto create effective clinical systems, and ensuring the clinic is in compliance with regulatory and quality standards. Health Center Managers create and foster an environment of diversity and inclusion for patients and employees and are advocates and leadersin implementing our mission to "Affirm human rights to reproductive health and freedom."

Responsibilities

Essential functions and responsibilities include, but are not limited to:

  • Leads clinic staff in development of a culture that fosters positive attitudes and trust among staff to achieve clinic goals and objectives. Assists all staff in creating and maintaining a team-based clinic plan to meet PPNCS goals and objectives. Holdsall clinic staff accountable to specific measurable customer service standards.

  • Supports and leads team through changes in the business. Serves as a role model to staff and peers in business ethics, integrity, customer service and service recovery.

  • Responsible for the day-to-day management of all clinic activities. Manages the clinic to meet or exceed goals in productivity, revenue, patient satisfaction, patient visit targets and quality measures. Monitors daily systems and procedures; ensures thatbarriers to quality employee performance and customer service are dealt with promptly and effectively.

  • Monitors and ensures compliance with our Standard Operating Procedures and Medical Standards and Guidelines, as well as HIPAA, CLIA, OSHA, and any other regulatory agencies.

  • Reinforces a patient-centered service model, by mentoring staff and volunteers, and setting an example by creating an environment that stresses responsive service delivery. Anticipates customer needs and assures all staff maintain customer service standards.Responds to customers in a courteous and timely manner.

  • Promotes a safe and inclusive environment in the clinic, promoting the appreciation of all forms of diversity.

  • Responsible for hiring, training, and management of clinic staff and volunteers. Responsible for ongoing training, staff development and staff meetings, to ensure all staff and volunteers are aware of all new and revised PPNCS policies and procedures. Monitors and evaluates staff and volunteers in their daily performance.

  • Takes proactive steps to resolve staff issues quickly and efficiently using ongoing, continual feedback. In consultation with Human Resources, responsible for staff performance plans and disciplinary actions.

  • Analyzes, prepares and submits all necessary reports and ensures that these reports are done accurately and in a timely manner. Submits additional reports as requested and meets deadlines.

  • Develops, implements, and monitors clinic financial plan. Monitors monthly financial statements against operating plan for fluctuations in revenue and expenses and assures performance goals are met. Is accountable for expenditures including, but not limitedto patient fee adjustments, payment plans, patient refunds and salaries.

  • Responsible for the financial management of the clinic. Accountable for daily reconciliation of deposits and logs, submitting invoices and expense reports.

  • Regularly conducts analyses of the clinic and creates measurable goals and objectives to ensure successful center operations and financial stability. Utilizing process improvement tools, implements activities to achieve clinic goals and objectives and evaluatesresults.

  • Manages clinic templates and arranges for staffing coverage while achieving clinic visit goals.

  • Assures appropriate ordering and accuracy of inventory for office supplies, medical supplies, contraceptive supplies, therapeutics, furniture and equipment for clinic.

  • Ensures compliance with medical record SOP. Supervises records retention and purging/archiving process of the clinics.

  • Assists staff with maintaining clinic flow, performing various staff functions as needed where licensure is not required (e.g. working at the front desk, rounding on patients, stocking and cleaning rooms etc.)

  • Responsible for monitoring and maintaining the physical space, safety and security and brand standards of the clinic.

  • Manages clinic schedule and arranges for all staff coverage. Assures clinic provides patient centered care and meets productivity goals.

  • Works to advance all of the medical services provided at our health centers including family planning, reproductive health services, abortion services, contraceptive services, vasectomies and transgender care.

  • Partners with Clinical Practice Leader and collaborates with other department to assure clinic is meeting organizational goals.

STANDARD REQUIREMENTS

  • Understand and work together as a team to meet productivity goals of 4 patients per hour per provider. Productivity results for each clinic will be shared by your manager with staff monthly. Annual performance monitoring for patient service staff willinclude an assessment of whether established productivity goals have been met.

  • Supports, cooperates with, and implements specific procedures and programs for: safety and security, confidentiality, quality assurance, compliance with current laws and regulations including HIPAA and mandated reporting, and training

  • Supports and participates in:

  • Common teamwork; Cooperates and works together with all co-workers,

  • Uses tactful, appropriate communications in sensitive and emotional situations demonstrating compassion, empathy and dignity for all

  • Follows up as appropriate with supervisor, co-workers and customers regarding reported complaints, problems and concerns

  • Promotes positive public image and relations of PPNCS

  • Completes requirements for acceptable attendance and timeliness to work, uniform and dress codes including personal hygiene, and other work duties as assigned.

Work Hours:

Health Center hours are Monday-Saturday 8:00am-5:00pm

Requirements

Required Qualifications

  • Post-secondary education in business, human services, public health, nursing related area, or 2-4 years equivalent experience.

  • Two years of experience working in a clinic or outpatient setting

  • Two years supervisory/management experience

  • Experience working with confidential information.

  • Must have the ability and willingness to travel as needed within Minnesota and South Dakota.

  • Must have the ability to work flexible hours that match the clinic hours, which may include evenings and weekends.

  • Experience working with high risk or underserved populations (youth, women, minorities, LGBTQ, etc.)

Desired Qualifications

  • Bilingual language skills (Spanish, Hmong, and Somali preferred)

  • Previous Planned Parenthood experience

  • Experience with computer-based appointment and/or electronic health system (NextGen preferred)
