Duke Children's Specialty Services of Fayetteville Health Center Administrator / Nurse Manager (Dual Role)

General Description

Provide overall administrative and nursing direction and oversight for policies, procedures and programs of a complex, multi-discipline pediatric and adult ambulatory clinic/practice. Provide administrative direction and coordination for all activities within a pediatric specialty site. Maintain liaison with all levels of administration, physicians and outside organizations to coordinate clinic/practice business, accomplish directives and to facilitate the resolution of problems.

Job Duties

  • Review current and future staffing needs to ensure budget management

  • Manage various personnel actions including, but not limited to hiring, orientation, performance appraisals, promotions and scheduling; and counsel and conduct formal discipline of clinical staff.

  • Complete Labor Management Forms and present to committee

  • Establish schedules, task assignments and allocation of man power, space andequipment to ensure conformance with departmental commitments.

  • Individual employee rounding

  • Create and maintain employee files

  • Manage meetings and follow-up: monthly staff meeting, manageroperation meetings,provider meetings

  • Maintain liaison with all levels of administration, physicians andoutside organizationsto coordinate clinic/practice business, accomplish directives and to facilitate the resolution of problems

  • Manage invoices for clinic expenditures and reconcile procurementcard purchases.

  • Determine fiscal requirements, make projections and prepare thebudget; monitor,verify and reconcile expenditure of budgeted funds; prepare financialstatements reflecting statusof programs and activities; ensure compliance with University policies and procedures.

  • Manage purchase order requisitions

  • Review monthly financial expenditures' supplies and HR staffing

  • Communicate andcollaborate with clinic's medical director, regionaladministrator, and departmental leadership to ensure best practice forworkflow andcommunication.

  • Coordinate and document all required drills

  • Review monthly clinic budget, balance score card and patient volumesandvariances. Complete variance reports and submit.

  • Identify best practices for performance improvement processes andprojects

  • Ensure Joint Commission, Infection Control, OESO, DUHS, PDC, NCBON, AAMA and AMT Guidelines and Regulations are met.

  • Oversight of multi-specialty nursing and ultrasound servicesdelivered.

  • Analyze, develop and maintain an effective and efficient nursing caredelivery systemthat reflects patient and family needs across the continuum; achievingdesired outcomes.

  • Promote education for patients, patient families and the community;participate indirect patient care activities as a targeted strategy for role modelingor information gathering.

  • Identify clinical operational needs; manage appropriate level ofequipment andsupplies and monitors equipment maintenance.

  • Liaison to Department of Pediatrics/ Collaboration with ClinicalOperations Director

  • Assess the environment and make recommendations to ensure optimalpatientcomfort, safety and compliance with various regulatory bodies (OSHA,JCAHO, etc.).

  • Cultivate exemplary customer service throughout the organization;promote effectivecommunication skills to include, but not limited to problem solving,assertiveness, and support forteam members, feedback, active listening and conflict resolution.

  • Develop andimplement processes to enhance clinic operations and practices forongoing quality improvement.

  • Develop, document, implement and monitor written policies andprocedures reflectiveof the ambulatory health care site mission settlement and objectives.

  • Be available on-callfor emergencies involving the facility, staff members, patientsand supplies (such as medication/vaccines).

  • Direct the compilation of and/or prepare operational and financialreports andanalyses setting forth progress, adverse trends and appropriaterecommendations or conclusions.

  • Develop operating policies and procedures for the Health Center;conduct meetingswith subordinates to ensure compliance with established practices;implement new policies andkeep employees abreast of current changes and standards.

  • Address all issues asthey arise throughout theday, such as equipmentmalfunction,personal issues with staff, clinic issues, patient issues

  • Transfer files for all secondary reads

  • Perform other related duties incidental to the work described herein.

Knowledge, Skills, and Abilities

  • Strong knowledge of pediatric specialty.

  • Experience managing a medical practice.

  • Ability to move throughout the clinic environment during the duration of the shift.

  • Ability to establish and maintain effective working relationshipswith patients andclinic staff

  • Ability to independently seek out resources and work collaboratively

  • Abilityto work under time pressures in a busy clinic environment

Education Requirements/Preferences

Work requires a general business background generally equivalent to abachelor's degree in a business or healthcare-related field.

.Bachelors of Science in Business preferred. Bachelors of Science in Nursing is strongly preferred OR AN EQUIVALENT COMBINATION OF

Experience Requirements/Preferences

Work requires 1 year of related administrative or clinic/practicemanagement experience to acquirecompetence in applying general operational practices, personnelpractices, accounting andbudgeting principles and coordination of clinic administrativefunctions.

  • Proficiency in Microsoft Office Suite.

  • Excellent verbal and written communication skills.

  • Self-motivated and directed.

  • Ability to partner with staff and faculty across the department andthe Duke organization

Licensure/Certification Requirements

  • Current or compact RN licensure in the state of North Carolina strongly preferred.
