The Hardware Logistics Specialist is responsible for overseeing daily management of hardware orders and logistics. The position is also responsible for all coordination relating to MINDBODY's point-of-sale hardware offerings, including order entry, configuration, distribution, inventory tracking, and day to day vendor interaction. This role reports directly to the Payments Operations Manager.

  • 1+ years of experience working operations or support in a software or payments processing company

  • Excellent organizational skills with acute attention to detail

  • Entrepreneurial mindset: no task is too large or too small

  • Analytical problem solver; you don't accept the status quo and are always looking for opportunities to improve or simplify processes

  • A knack for identifying what's most important

  • Experience managing time-sensitive, complex operational processes or logistics strongly preferred

  • Experience collaborating with hardware vendors or third-party logistics partners preferred

  • A desire to serve businesses and practitioners that offer wellness (fitness, beauty and integrative health) services

What You'll Do

  • Manage all internal/external correspondence for the Logistics Queue in Service Cloud

  • Fulfill all client's point-of-sale hardware orders.

  • Pack and ship all international orders via our internal UPS account

  • Processing and management of all hardware returns

  • Maintain all in-house inventory par levels for hardware shipped internationally

  • Write quarterly POs for all hardware shipped to clients

  • Maintain relationships with current and future point-of-sale hardware distributors

  • All other duties as assigned

Position Summary: This position involves overall knowledge in and ability to prepare and execute all elements of the payroll process in a timely and professional manner. Supports CAPSLO's mission by ensuring accurate, timely and efficient payroll processing, as well as ensuring courteous service delivery to staff and management. Responsibilities & Duties: 1. Responsible for payroll preparation and routine auditing of all timecards and timekeeping processes. 2. Enters timecards into the payroll system. 3. Performs data entry of vacation, sick and administrative leave as used and earned. 4. Files all documents pertaining to payroll. 5. Completes verbal and written employment verifications. 6. Prepares manual checks as needed. 7. Assists Payroll Supervisor in corrections/updates to timecards and other deductions as directed. 8. Assists in running reports and preparing and distributing payroll related reports to management staff. 9. Provides courteous and prompt "customer" service to staff, management, vendors, etc. on an ongoing basis. 10. Returns calls, e-mails and other payroll inquiries timely. 11. Must assist in reconciling payroll accounts. 12. Prepares journal entries to accommodate monthly financial statement closings. 13. Prepares the quarterly vacation accruals and reversals, and reconciles the account monthly. 14. Prepares monthly Workers Compensation Report and voucher. 15. Assists in monthly reconciliation of bank accounts (excluding payroll) to the general ledger cash accounts. 16. Prepares outstanding checklist for payroll bank reconciliation. 17. Reconciles the account quarterly and makes all necessary preparations for the W/C Audit. 18. Reconciles Health Insurance receivable and payable schedules to the general ledger. 19. Prepares schedules, pulls detail information and assumes projects for the annual audit as delegated by the Payroll supervisor. 20. Works as a team member of the Payroll and Human Resources Department and adheres to all policies and procedures of the Department. 21. Works collaboratively with the Finance and other Departments as needed and directed. 22. Takes initiative to address payroll processing issues and concerns with Payroll Supervisor, Payroll Processing entity and HR Director for prompt problem solving and resolution. 23. Must cross-train with other staff in department in order to provide consistent high quality payroll services. 24. Must be flexible and assume clerical tasks and projects as delegated by the Payroll Supervisor. 25. Must use reasonable precautions in the performance of one's duties and adhere to all applicable safety rules and practices; and act in such a manner as to assure at all times maximum safety to one's self, fellow employees, clients and children. 26. Must be able to work independently, multi-task, and redirect attention to priorities based on needed deadlines and timeframes. Minimum Educational and Experience Requirements: 1. At least two years prior Ceridian , ADP or other similar payroll/online timekeeping system processing experience required. 2. AA/AS Degree with related experience or two years of experience in performing bank reconciliations and payroll processing as well as knowledge of the rules and regulations that govern time reporting and payment. 3. Must be able to use 10 key by touch and be advanced in performing data entry keystrokes. 4. Must have advanced Excel skills and be able to prepare spreadsheets and other required reports as needed. 5. Must be quick and accurate at entering detailed payroll, time and attendance information. Other Requirements: 1. Must have knowledge of, and respect for rules pertaining to the privacy and protection of employees' personal information. 2. Must have excellent computers skills (Excel, MS Office, Word). 3. Must have pleasant disposition and treat all clients, community partners and employees of Community Action Partnership with respect. 4. Must have dependable, insured transportation and valid California Driver's License (mileage to be reimbursed) and acceptable driving record. A DMV printout and proof of insurance will be required. 5. Must be able to relate well to all people of the community regardless of color, national origin, religion, sex, pregnancy, age, marital status, veteran status, sexual orientation, disability or socio-economic level. 6. Must complete all background requirements: live scan, education verification, acknowledgement of child abuse reporting responsibility, criminal record statement and receive satisfactory clearance from all licensing and investigative authorities. Employment is contingent upon receiving a clearance from appropriate authorities. 6. Must understand, uphold, and continue working toward accomplishing the mission, strategic goals and performance measures of the agency. Physical and Environmental Requirements: Position requires intermittent sitting, standing, walking, twisting, and bending. Applicant must be able to lift 30 pounds. Simple grasping and hand manipulation required, as well as reaching above and below shoulder level. Requires working indoors in temperature controlled environment with some exposure to copier and printer chemicals/fumes.
