The Guest Services Manager is responsible for implementing, planning and executing The Greater Chicago Food Depository's internal revenue generating events and special external volunteer events, except for certain events run by the Development organization. S/he works collaboratively with the Volunteer Engagement team and the Organization to provide a high level of customer service to our community and corporate partners. S/he will demonstrate strong leadership skills, strong communication skills and relationship development skills. This is a full-time role that could require nights and weekends. This position will also have a revenue goal.

The Food Depository is planning to build two new facilities adjacent to our current building. One of the new facilities will include a conference center and caf. This person will be responsible for marketing these services and coordinating events held there.

Specific Duties:

  • Establishes and oversees the logistical and administrative support needs of events.

  • Execute and manage all internal events (Corporate Group events, Fresh Trucks, Harvest events, other special events.)

  • Design, coordinate and execute the annual Volunteer Appreciation event.

  • Support Senior Volunteer Coordinator with internal corporate event experiences.

  • Assess event goals, run meetings in preparation of event, and manage donation structure expectations.

  • Liaison between client and external vendors as well as contract negotiation.

  • Communicate, maintain, and develop a long-lasting relationship with partners.

  • Manage payment and collection of invoices.

  • Manage vendors or suppliers in a professional manner.

  • Ensure that the cost of an event is well within the budget agreed with a client

  • Provide leadership and motivation in order to ensure synergy throughout the period of an event

  • Manage internal communication for events, notifying staff and leadership of events.

  • Create and manage internal event calendar.

  • Provide post-event report to proper channels.

  • Communicate with client post event (Thank you, survey).

  • Other responsibilities as assigned.

  • Coordinate and manage monthly meetings with other colleagues who have events at the Food Depository to ensure no overlaps and delineate clear lines of responsibilities, including the Executive Assistant to the CEO, Special Events team, Community Impact team, and HR.



The Guest Services Manager role will require strong project management and communication skills in addition to the following:

  • Bachelor's degree preferred in Hospitality or Event Management or similar discipline.

  • Minimum of 2 years' experience in event management.

  • Minimum of 2 years' project management experience.

  • Superior attention to detail.

  • Strong interpersonal and communication skills.

  • Excellent public speaking skills and ability to guide large groups.

  • Excellent verbal and written communication skills.

  • Proficiency with MS Office- Word, Excel, PowerPoint, Outlook.

  • Familiarity with database software; CiviCore and Raiser's Edge a plus.

  • Ability to work with multiple groups on projects and prioritize.

  • Involvement in community activities as active member or affiliation.

  • Physically capable of lifting thirty (30) pounds.

  • Background in people management.

  • Excellent communication skills, positivity and enthusiasm for the Food Depository.

Additionally, the GSR Manager will act as an exemplary leader for the other GSR's and GSR assistant Manager and complete varying administrative and managerial responsibilities. SKILLS AND APTITUDES: * Professional demeanor and appearance * Desire and ability to lead-by-example * Outstanding people skills * Ability to be flexible and adaptable * Strong organizational skills and ability to multi-task * Excellent oral and written communication skills * Ability to meet deadlines * Ability to think quickly and efficiently when confronted with a client requests * Self-starter, motivated, takes initiative, and anticipates needs of others * Computer literacy, specifically MS Office applications and Internet * Treats all team members with respect and dignity * Ability to stay positive in ever-changing circumstances MAJOR RESPONSIBILITIES: * Courteously greet all tenants and visitors to the reception desk * Signing in all authorized visitors according to the policies, rules and regulations established by building management and/or tenants, ensuring all guests have been authorized to enter * Contact tenants in courteous and professional manner when a guest is not pre-registered * Provide excellent service to all guests arriving at the building * Answer and respond to tenant phone calls and e-mails for assistance throughout the day * Provide guidance and information as requested from tenants and visitors to the building * Ensure familiarity with building management and security protocol, directing any issues to the appropriately designated management * Develop and maintain professional relationships with key employee and tenant contacts at the property and proactively investigate all events occurring or hosted by the property * Maintain service alert awareness and report any security issues to the designated security and/or management parties * Ensure work and reception areas are neat and orderly with all personal items stowed away (eating and drinking not allowed at work areas) * Acts as an exemplary employee in all situations * Is knowledgeable on and abides by CCS Handbook, policies/procedures, building SOPs and leads GSRs accordingly * Assists HR in recruiting and onboarding efforts for GSRs * Train new permanent and temporary GSRs and Assistant Manager * Actively observe team performance while working with them * Coach team members in the moment to correct performance * Coach and develop GSRs and Assistant Manager * Relay coaching and other team concerns to CCS Account Manager within 24 hours, sooner if the situation is urgent * Compose and administer GSR and Assistant Manager annual reviews * Create and maintain GSR staffing levels and schedules * Compose performance counselling paperwork in a thorough and concise manner and submit to CCS Account Manager or Human Resources for approval * Administer performance counselling with a witness scheduled * Learn other managerial tasks as appropriate * Refrain from participating in negative team influences, gossip, etc * Always encourage a positive and professional team environment * Participate in meetings regarding building operations as requested * Share GSR related information with CCS Account Manager in a timely manner * Complete requested building and CCS reports by specified deadlines * Any additional duties as assigned JLL Privacy Notice Jones Lang LaSalle (JLL), together with its subsidiaries and affiliates, is a leading global provider of real estate and investment management services.
