Job Summary

Process all reservation requests, changes, and cancellations received by phone, fax, or mail. Identify guest reservation needs, determine appropriate room type, and verify availability of room type and rate.

Explain guarantee, special rate, and cancellation policies to callers. Accommodate and document special requests. Answer questions about property facilities/services and room accommodations.

Follow sales techniques to maximize revenue. Communicate information regarding designated VIP reservations. Input and access data in reservation system.

Respond to any challenges found for accommodating rooming requests by communicating with appropriate individual or department. Oversee accuracy of room blocks and reservations. Input group rooming lists using reservation systems, revise room blocks to maintain the required number of available rooms, and keep organized files of all groups. Set-up proper billing accounts according to Accounting policies.

Follow all company policies and procedures; ensure uniform and personal appearance are clean and professional; maintain confidentiality of proprietary information; protect company assets. Welcome and acknowledge all guests according to company standards; anticipate and address guests' service needs; assist individuals with disabilities; thank guests with genuine appreciation.

Speak with others using clear and professional language; prepare and review written documents accurately and completely; answer telephones using appropriate etiquette. Develop and maintain positive working relationships with others; support team to reach common goals; listen and respond appropriately to the concerns of other employees. Comply with quality assurance expectations and standards.

Read and visually verify information in a variety of formats. Move, lift, carry, push, pull, and place objects weighing less than or equal to 10 pounds without assistance. Perform other reasonable job duties as requested by Supervisors.

Scope of position: The Manager of Member Initiative Groups is a strategic member of the DMA Members team. The Manager helps to deepen alliances with the museum's members and identify and target new prospective members, specifically through special member groups that include the Contemporary Art Initiative, the Gay and Lesbian Fund for Dallas, the Junior Associates, Forum, DMA League and others, as identified by the Director of Individual Giving and the Director of Development. Membership giving levels for these groups range from $250 to $15,000 per year. We welcome a career-oriented individual who enjoys being part of a team, delivers excellent customer service and is able to work collaboratively with internal and external constituencies while demonstrating cultural sensitivity and a strong respect for differences. The successful candidate will be a motivated self-starter with excellent time management skills who demonstrates willingness to take on new opportunities and challenges and who exudes an enthusiasm and deep appreciation for the mission and aspirations of the DMA. The capability to eloquently articulate the DMA's mission, values, achievements, potential, and priorities to both internal and external audiences is key. Essential Functions: * Works collaboratively cross-departmentally with development, curatorial staff, the special events team and volunteer leadership to manage the museum's offerings to special membership groups. * Serves as the primary liaison with the volunteer leadership of five membership groups. * Oversees each member group communication with the member group Chair(s) throughout the year through email, phone, mail and social media channels. * Manages corresponding budgets to insure that revenues are maximized and expenses are controlled. * Develops and manages strategies designed to retain, steward, cultivate, and grow these membership groups. * Works with others within the Development division to identify donors who have the inclination and capacity to significantly increase their giving, recommending leads for further cultivation and solicitation. * Generates timely status reports to monitor and measure the program effectiveness against the defined goals. * Works and attends various Museum events, including evening and weekend events, as needed. * Other duties assigned by the Director of Individual Giving or the Director of Development. Requirements Education, Experience, and Certification * Bachelors' degree required. * 3-5 years of experience in nonprofit fundraising, preferably the arts. * 2-3 years of experience with volunteer management preferred. * Proficiency in Microsoft Office required; experience using Raiser's Edge or other database experience preferred. Knowledge, Skills and Abilities: * Ability to work effectively across all levels of the organization. * Demonstrates the highest professional and ethical standards, confidentiality, sensitivity, diplomacy and sound judgment in all interactions with DMA donors. * Intellectual depth, maturity, and collaborative skills necessary to gain the trust and confidence of internal and external constituents. * Ability to prioritize needs among multiple diverse constituencies. * Strong organizational skills and attention to detail. * Ability to manage multiple tasks while prioritizing for efficiency. * Demonstrates strong written and oral communication skills to prepare cultivation and solicitation materials, as well as effective and appropriate communiques with peers, supervisors, and donors. * Ability to work evenings and weekends as required. * Some knowledge of Art History and/or Contemporary Art preferred.
