As the Group Sales and Events Coordinator, you will embody the ethos of the Miraval wellbeing brand, be a competent individual who understands basic hospitality and customer service principles and inspires to learn more.
The Group Sales and Events Coordinator is responsible for supporting the Group Sales team through client communication (phone, email, database) and workflow projects. In addition, they oversee supporting and assigning leads and encouraging the group sales team to have timely customer service to close more business. This position will also be responsible for assisting in the planning and executing of all hotel events and functions. This individual works with the event planning and sales team to assist with any and all administrative needs related to event planning. They work on organizing internal and external logistics for event management working with stakeholders that make the resort a success and clients alike.
This position reports to the Directors of Group Sales & Events, is full-time and on-site at their resort.
Specific duties include but are not limited to:
Support Sales and Event Planning Staff in any way requested
Envision database management
Processes weekly reports as requested
Ensure all information (copy of the signed contract, addendums, pertinent emails, etc.) is in Envision
Support group sales staff by managing lead flow, completion, and database
Support sales team in regard to entering leads and updated database information to best communicate correct and complete information to property teams
Supporting the sales team administratively through client communication (phone, email, database) and workflow projects
Manages group sales accounts as requested by the sales team
Answers phones; qualifies incoming inquiry calls and ensures all inquiries are dealt with accurately timely and in a professional manner
Oversees the lead flow, distribution, and management of new business RFP's confirming business and extending leads to all 3 properties.
Demonstrates awareness of established goals for each property and the role played in the Sales process to achieve and/or exceed these goals.
Produces sales contracts and manages correspondence; pulls sales reports; administratively supports group sales-facing marketing campaign; manages department expenses.
Maintains constant correspondence including prospecting efforts, and thank you letters for groups
Reviews group resumes, billing, etc. as needed and requested by Senior/Event Planning Manager
Assures that all administrative needs as related to events are executed appropriately
Process weekly reports as requested
Review hotel schedules, event schedules and activity schedules as requested
Arranges guest amenities and special needs as requested
Interface with clients as directed by the Senior/ Event Planning Manager
Stays informed on the latest trends for activities and programs of competitors and guest demands
Performs all tasks and provides services in compliance with policies, procedures, work instructions, training, codes of conduct, recognized best practices, safety laws and regulations.
Works with group coordinator to finalize any commissions or rebates on group room block
Coordinates weekly BEOs for all groups as directed by the Event Manager
Attends pre-con meetings and prearrival meetings for all groups as directed by the Event Manager
Oversees group calendar and bookings in conjunction with the group rooms coordinator
To be successful:

Must understand the basic principles of planning events and customer service
Must be familiar with the operation of property management software, email, routine database activity, graphics, and Microsoft applications such as Word, Excel, and Windows
Know how to operate printers and other front office equipment
Must be able to prioritize tasks and handle multiple tasks simultaneously
Minimum of 2 years of high-end sales and customer service experiences preferably in a call center, sales/customers service and/or hospitality environment or University degree with internship experience
Advanced technology proficiency with knowledge or ability to learn and lead with reservations software and booking systems
Exceptional verbal and written communication skills with ability to skillfully articulate resort information to guests and new agents
Previous experience in the development and delivery of training information.
Exceptional time management, detail and organizational skills
Must be a strong compassionate leader with a self-sacrificing personality
Professional demeanor with exceptional verbal, written and electronic communication skills
Must be completely flexible and be able to work weekdays, weekends, mid shifts, nights and holidays
