The Great Falls Public Schools Foundation exists to build upon the taxpayers' commitment to public education through private funding that enhances education in unique and impactful ways. Through the generosity of donors, the Foundation provides educator grants, student scholarships, building enhancements, and student and teacher recognition opportunities. The Foundation partners with families, businesses and the community to positively impact the learning experience for students and teachers in the Great Falls education system.

POSITION The Operations Manager position serves as a hub for the organization

DESCRIPTION: by supporting Foundation staff and board members, District employees, and community donors. This supportive role involves frequent communication with varied groups of individuals who have different inquiries and needs. The position requires skills in the areas of bookkeeping, grant management, and office administration.

RESPONSIBILITIES: Manage financial and database records including general bookkeeping services:

  • Process accounts receivable, accounts payable, and payroll

  • Issue fund disbursements for scholarship awards and educator grants

  • Complete monthly account reconciliations and analysis

  • Facilitate requisite tax payments, annual tax return and audit with external accounting firm

  • Generate financial reports for staff and board of directors

  • Provide fund management services for district/school accounts

  • Process gift entry and donor acknowledgement letters

  • Maintain accurate donor records in CRM database system; generate necessary reports

Manage the educator grant cycle and program services:

  • Maintain grant management platform; oversee application and review processes

  • Issue award notifications; review and process award fulfillment requests

  • Review and process basic needs inquiries and fund fulfillment requests

  • Oversee the development and implementation of new program services

Coordinate office administration efforts:

  • Manage print and mailing efforts for Foundation fundraisers and events

  • Prepare quarterly board meeting materials including committee and board meeting minutes

  • Maintain updated mailing lists and records management system

  • Greet guests, field phone calls, and provide administrative support for the office

  • Perform other duties as assigned

  • Practice and adhere to Great Falls Public Schools Foundation's mission, values, and policies

QUALIFICATIONS: • Business or nonprofit experience preferred

  • Associate or Bachelor degree preferred but not required

  • Strong computer skills and ability to learn new programs

  • High level of proficiency in Microsoft Office (Word, Excel, Publisher)

and Adobe Acrobat, required

  • Experience with QuickBooks required

  • Experience with CRM database systems preferred

  • Experience with grant management platform preferred

EMPLOYMENT: Non-exempt status

12 months per year; 40 hours per week; occasional overtime

LOCATION: Great Falls Public Schools District Office Building

(not a Great Falls Public Schools Employee)

COMPENSATION: $23/hour - $24/hour (depending on experience)
