The Grants Manager will provide a focused skill set in the arena of public/governmental grants, private foundation grants, and corporate grants. Independently or in collaboration with internal and/or external partner grant teams, the Grants Manager will research funding opportunities; prepare, coordinate, and write funding applications and letters of interest; and organize, prepare, and submit post-funding reports as required by the grantor. The Grants Manager will work in close collaboration with the Office of Institutional Advancement to ensure coordination of fundraising efforts. In addition, the Grants Manager will work with ACHS leadership to develop, implement, and manage data systems and processes to ensure ACHS has the necessary tools and data to be successful in all stages of grant management. This work may entail instructing and supporting ACHS team members and student-trainees on the use of data reporting and management systems.

The Grants Manager will be required to learn and have a firm grasp of the services, communities, and health equity areas ACHS is addressing alongside its partner sites in Chicago, Illinois and Vancouver, British Columbia, Canada. The Grants Manager may be required to travel to partner sites to fulfil their responsibilities including but not exclusive to developing and advancing relationships, learning about ACHS' role and services provided at the partner site, hosting/co-hosting grantor site visits, and improving understanding of community health equity strengths and challenges.

The Grants Manager will be personally responsible for their annual fundraising target and must plan for and execute against them to meet the overall ACHS budget. Of significance is this position's ability to build an integrated, processed-focused orientation toward grant writing and its related prospecting, planning, submission, and reporting.

The Grants Manager reports to the ACHS Executive Director/Chief Psychologist with a dotted line reporting to the Office of Institutional Advancement.

Education/Experience:

  • Bachelor's degree with five years of professional work experience successfully writing grants (as the primary author), developing grant proposals and/or grant management in a complex academic and/or health care environment.

Certifications/Licenses:

K/S/A

  • Knowledge of grant funding policies and procedures applicable to federal, state and or community funding sources and the associated mechanisms

  • Strong writing and research skills and the ability to collect, analyze, and synthesize information, and to devise statistical analyses and reports

  • Ability to analyze and interpret financial data, prepare financial reports, statements, and/or projections which requires knowledge of budgeting and fiscal management principles and procedures

  • Knowledge of current developments/trends in field of expertise

  • Strong interpersonal skills, working effectively and collaboratively with both internal and external audiences

  • Ability to listen and translate information into grant proposals

  • Ability to develop and produce grants/proposals by codifying ideas into coherently written text producing highly competitive proposals

  • Ability to work independently, manage time effectively, establish priorities and meet critical project deadlines

  • Attention to detail and the ability to maintain accurate records, especially those activities related to grant calendar management and Raisers Edge data collection

Essential Duties & Responsibilities:

Internal and External Team Collaboration

  • Develops and maintains strong working collaborative relationships with internal and external fundraising teams and funders.

  • Facilitates funding communication between ACHS, Office of Institutional Advancement, and/or external grant funding teams.

  • Coordinates and/or conducts the outreach to potential funding sources to determine fit and cultivate relationships that honors prospect management policies of Office of Institutional Advancement.

  • Works within the university's fundraising database to maintain records and proposal tracking of potential funders, grants submitted, and grants received.

  • Coordinates and/or conducts site visits of among potential or actual funders, ACHS, and/or ACHS partner sites.

Research and Fund Prospecting

  • Identifies emerging health equity and behavioral health industry trends with a special emphasis on high value exchange corporate alliances to solicit philanthropic commitments.

  • Maintains a thorough research program to determine the giving patterns of local, regional, and national foundations and corporations including state and federal competitive grant funding.

  • Determines fit for potential funding sources in line with ACHS services and funding priorities.

  • Identifies new local and national funding opportunities.

  • Cultivates and solicits corporate and governmental funders, identifying the soundest opportunities for funding

Funding Proposal Development, Writing, and Submission

  • Manages an aggressive and proactive proposal submission schedule.

  • Maintains a master grants calendar and proposal coordination schedule.

  • Independently or collaboratively prepares funding applications for submission.

  • Independently or collaboratively prepares programming details, qualifications, and projected budgets for submission.

  • Independently or collaboratively prepares grant attachments and supplemental information for submission.

  • Works with the Advancement Services Manager to ensure grant submissions are documented in the Finance/OIA Revenue Forecasting report.

Funding and Data Systems Management

  • Facilitates and manages qualitative and quantitative data acquisition for prospective and acquired funding proposals and programs.

  • Synthesizes and produces summative, descriptive reports of collected qualitative and quantitative data.

  • Coordinates, supports, and reviews ACHS-wide grant writing efforts.

  • Collaborates with ACHS Executive Director to collaborate with finance department on reporting grant revenue, budgeting processes, and tracking cash flow.

  • Prepares funding thank you letters and stewardship reports as needed.

  • Prepares or assists in the preparation of reports to internal and/or external officials on the status of grants and the use of funds in accordance with the criteria of approved grants.
