Job Profile Summary

This position provides oversight of college grants from award to close-out, to include federal, state, local, and private awards that support College programs and activities. Ensures that grant awards are used in accordance with government, program and College regulations and requirements.

Employees in this position are expected to utilize a high level of organizational, communication and critical thinking skills in addition to independent judgment in making decisions within the realm of their responsibilities. The incumbent serves as the consultant to Program Directors, administrators and support staff in all areas of interpretation, performance and fiscal responsibility as they relate to grants, as well as liaison to the grantor/agency officer as warranted.

This is a temporary position which will end on December 31, 2026. The incumbent is subject to annual performance evaluations.

Minimum Education:

  • Bachelor's Degree.

Minimum Experience/Training:

  • Six years of relevant experience.

  • Demonstrated ability to simultaneously manage multiple projects and develop budgets while adhering to required internal and external policies and procedures. Experience in working collaboratively with various groups including senior administrators, staff, faculty, federal and state officials, and community stakeholders.

Essential Functions:

  • Daily
  • 10%: Conducts post award services until grant close-out while maintaining a thorough understanding of a wide variety of grants, agencies and government guidance documents in compliance with federal, state and funding agency guidelines.

  • 5%: Provides pertinent information to program staff and administrators on regulations, policies and processes of both the grantor and the College. Sets up a comprehensive implementation plan for awarded grants to the College to ensure implementation of promised activities and to meet program outcomes.

  • 10%: Analyzes and maintains comprehensive information and guidance manual for program director of each new grant award, and facilitate a grant kick-off meeting. Schedules, plans, facilitates and attends grant program and administrative meetings. Participates in informative/directive webinars and conference calls.
  • Monthly
  • 20%: Collaborates and assists the Grant Program Directors, College Administrators, Business Office, and other staff throughout the grant to ensure legal and ethical grant implementation as well as ongoing grant related program, financial and administrative functions.
  • Daily
  • 10%: Coordinates and assists program staff to ensure the timeliness, content and professional quality of hard copy, electronic and/or online grant reporting.

  • 15%: Assists in monitoring the timely expenditure of funds and address discrepancies and concerns with grant program director and administrator.

  • 10%: Maintains close communications with the College Business Office to support their grant financial accounting, reporting and audit functions.

  • 15%: Evaluates and performs necessary budget tracking and procurement inquiries in database operating system. Establishes spread sheets for the purposes of organizing data and for budget tracking. Maintains budget and performance tracking tools for use by grant Program Directors and staff.

  • 5%: Other duties as assigned.

  • In-depth functional knowledge and expertise in area of specialization and general knowledge of related areas in the College

  • Ability to perform complex administrative analysis with only general supervision

  • Strong diagnostic, analytical and problem-solving skills

  • Excellent coordination and communication skills used appropriately influence the decision-making of individuals and groups at all levels in the College

  • Ability to plan and manage own work flow, priorities and results accomplishment

  • Requires the ability to present and disseminate data to various levels

  • Requires advanced knowledge of computerized systems and operating environments i.e. Microsoft Office Products and specialized computer systems
