Description:

The Grants and Contracts Associate will be responsible for the identification of funding sources, proposal drafting and submission, contract negotiation, sub-award issuance, pre-award and post-award administration (both financial and nonfinancial) of grants, awards and contracts that provide support for research, curriculum development, outreach, and/or service work.

Duties & Responsibilities:

Support or oversee the administration of grants, contracts, and subcontracts; interpret and provide guidance regarding sponsor policies and regulations; contribute to the development, implementation, and analysis of policies, procedures, programs, objectives, and long-range planning related to research and sponsored programs; perform high-level research and provide reports and detailed analyses for administrative use. Research and identify potential funding sources through various means and guides faculty and staff toward funding opportunities that match their needs.

Prepare and negotiate grant awards, contracts, and subcontracts in conjunction with faculty and/or researchers; collaborate with staff and key stakeholders to resolve issues related to sponsored grants and contracts Participate in the prioritization of internal grants based on merit, grant application planning processes, reviewing funding opportunity announcements, application instructions, grants submission documents, grant funding availabilities, budgets and allowable costs and/or other criteria. Serve as primary liaison between external agencies and responsible units to ensure all information is correct and in compliance with university/agency, federal, state, and sponsor regulations governing grants and contracts; responds to audit requests that pertain to the grant. Monitor, maintain and/or approve the financial status and program performance of the grant project; forecast cash requirements, cash flow, and spending rates; monitor, prepare and/or direct the preparation of the fiscal reports.

Ensure all contractual requirements have been met; review, edit, and approve fiscal portions for the awards; complete the closeout requirements including a review of the final financial and technical reports. Oversee, analyze and manage grants within the Department. Implement course of action, establish new procedures and initiate changes in existing procedures to increase the operating efficiency of the Department as it relates to grants.

Prepare Proposal Approval Form (PAF) for routing to the Office of Research Services. Organize and prepare pre-award proposal documentation including budgets, institutional information, budget justifications, sponsor compliance, regulatory information and assist with IRB processing and status updates. Advise the Director of Administrator of Operations on financial matters relating to grants that affect the department.

Inform PI's and research staff of changes in sponsor policies and regulations. Manage coordinate and ensure compliance with changes. Verify adherence to relevant University policies, procedures and accounting standards.

Investigate discrepancies, and provide monthly statements of expenditures charged to grant accounts for Principal Investigators. Respond to internal and external auditors for the audit of funded research proposals. Coordinate Effort Reporting activities associated with sponsored research awards for the Department.

Prepare financial status reports and invoices on a monthly basis. Perform other related duties and participate in special projects as assigned.

Minimum Qualifications Required:

  • Bachelor's degree in business administration, accounting, finance, economics or a field related to the position.
