The Department of Radiation Oncology is an integral part of the Cancer Program at the University of Washington and a major contributor to the contribution margin of each of the seven centers at which we provide professional services: University of Washington Medical Center (UWMC); the Gamma Knife facility at Harborview Medical Center (HMC); the Fred Hutch Cancer Care (FHCC); the Radiation Oncology Suite on the Northwest Hospital Campus (FHCC@NWH); the FHCC Proton Therapy Center (PTC); Seattle Children's Hospital (SCH); Seattle Puget Sound VA Medical Center; and the FHCC Peninsula.

We have 33 physician faculty, 36 science PhD faculty, 12 APP faculty, 10 radiation oncology residents, 4 medical physics residents, and 2 fellowship faculty on staff with additional postdoctoral scholars and graduate students participating in various research projects in radiation biology and molecular medicine, medical physics, and radiation chemistry. The UW School of Medicine is a large school within the UW and a critical partner in delivering care through UW Medicine.

Radiation Oncology, within the school, is the only local provider of proton and neutron therapy for tumors, in addition to the more traditional photon treatments. This has a significant impact on UW's national reputation. Radiation Oncology will be a key clinical and research partner with Fred Hutch Cancer Center and Radiation Oncology's success with make a significant impact on the success of this new partnership between UW and FHCC.

POSITION PURPOSE

The Department of Radiation Oncology has an outstanding full-time opportunity for a Grants and Contracts Analyst to join our team. This position manages pre-award & post-award and provide clinical trial support to the department research finance team.

DUTIES AND RESPONSIBILITIES

Grants and Contracts Pre-award (35%)

Independently manage the process of preparing applications including researching policy, regulations, and submission rules of the funding agency.

Application preparations include, but are not limited to: creating and completing eGC1s for new awards, after-the-fact awards, contracts and supplements, budget design and application administrative document inclusions.

Collaborate with OSP to ensure application requirements are met and submitted timely.

Advise PIs on cost sharing requirements. Prepare cost share calculation and cost share addendum and other required documents related to grants applications.

Create policies and procedures and effectively manage the preparation and submission of Just-in-Time (JIT) documents, annual progress report, no-cost extension requests, and close out report.

Grants and Contracts Post Award (35%)

Perform outgoing subaward administration, budget reviews, BPO invoice review tracking and closeout

Manage preparation and submission of performance and financial reports for funding agencies, working closely with PIs and GCA

Manage purchasing activities, reimbursement, and budget reconciliation

Maintain and regularly update payroll distributions for all grant related staff and faculty including effort commitment.

Maintain and update various reports as assigned by Grants & Contracts Manager

Clinical Trials Support (25%)

Interpret regulations for clinical trial finances and collaborate with the Clinical Research Coordinator Team to develop study budgets throughout the life cycle of the clinical trial including budget and contract amendments

Develop and manage billing and payment tracking tool

Create a standard process with Clinical Research Coordinator Team to ensure study billings accuracy and timeliness

Develop processes in partnership with the Clinical Research Manager to streamline the invoicing of sponsors based on patient accrual and visits

Program Support (5%)

Provide general support for RadChem and RadBio lab (maintenance services, permit renewal needs, event planning, such as Department of Energy site visit, and research collaboration meeting logistic).

Coordinate with RadChem lab manager and RadBio lab manager to manage equipment inventory

Provide backup fiscal support to the financial business office

MINIMUM REQUIREMENTS

Bachelors in Finance, Accounting, Business Administration, or related field (a combination of education/work experience may substitute for the stated requirements)

At least two years of work experience

Proficiency with Microsoft Office products including Excel, Outlook, Teams, Word, Access, PowerPoint

Ability to exercise independent judgment and discretion

Excellent verbal and written communication skills

Detail oriented and highly organized

DESIRED QUALIFICATIONS

Two years of experience in financial analysis, budgeting, grant/contract administration

Previous experience with grant submissions, pre- and post-award, budget reconciliation and compliance

Familiarity with national funding agencies such as NIH & DOE.

Familiarity with UW Human Subjects processes, Institutional Review Board (IRB) and Clinical Research Budget and Billing (CRBB)

CONDITIONS OF EMPLOYMENT

Telework eligible (2 days/week)
