Job Summary

Maintain a financial accounting, reporting, and record-keeping system per Generally Accepted Accounting Principles (GAAP) and Government Accounting Standards Board (GASB).

Essential Functions

  • Assists Grant Administrator, Grant Managers, Activity Directors, and the Comptroller with pre-award budget development and performs post-award budget revision reporting for grants.

  • Schedules and trains new Grant Managers/Activity Directors on accessing their grant budget reports • Responsible for budgetary control and post-award compliance with federal, state, local, sponsor, and University regulations.

  • Responsible for the invoicing and reconciliation processes related to funding drawdowns from external, federal, and state agencies.

  • Responsible for monitoring grant activity, including cost overruns, cost sharing, and unallowable administrative expenses.

  • Reconciles and prepares monthly and quarterly financial grant reports according to generally accepted accounting procedures.

  • Prepares and maintains reimbursement expenditure reports for grants and reconciles monthly grant reports to funds received.

  • Maintains monthly spreadsheets for current and pending federal, state, local, University, Foundation, and private grants.

  • Attends monthly review meetings with the Grants Administrator, Comptroller, and Senior Accountant

  • Assists the Comptroller and Accounting with Grant Monitoring and Single Audit.

  • Assists the Director of Financial Aid & Comptroller with preparing the annual FISAP report and Single Audit.

  • Ensure the timely preparation and submission of required reports.

  • Communicate with faculty, staff, and outside contacts to provide financial and accounting information and support as needed.

  • Maintain knowledge of internal control requirements.

  • Perform other duties as assigned, including project and committee work.

  • Cross-train on other Business & Finance functions.

  • Flexibility to take on new tasks as Accounting Office needs change.

Knowledge, Skills and Abilities

  • Strong interpersonal skills

  • Working knowledge of Microsoft Office, specifically Excel, and Word, for grant and report writing

  • Database management and analysis

  • Ability to work independently and prioritize multiple tasks with attention to detail

  • General knowledge of general accounting principles

  • Ability to effectively communicate; general understanding of federal regulations, guidelines, and practices

  • Ability to independently execute responsibilities

  • Ability to interface professionally with a variety of internal and external stakeholders

Minimum Education and Experience

  • Bachelor's degree from a regionally accredited college or university in Accounting or a related field (preferred)

  • 1 to 3 years of general ledger accounting and grant accounting experience or current academic studies progressing towards attaining a Bachelor's degree from a regionally accredited college or university in the above-related fields of study.

  • Working knowledge of GAAP and GASB, as well as governmental accounting practice.

Physical Requirements

  • Light work that includes moving objects up to 25 pounds.

  • Sedentary work that primarily involves sitting/standing.
