Transylvania University, a private liberal arts college, seeks an experienced, collaborative, and strategic leader to serve as its next Grant and Campaign Communications Coordinator. Located in the heart of downtown Lexington, Kentucky, Transylvania University features a personalized approach to undergraduate education through 46 liberal arts majors. Founded in 1780, it is the 16th oldest institution of higher learning in the country with approximately 1,000 students.

The Grant and Campaign Communications Coordinator is responsible for writing a variety of high-quality material for donor audiences, including grant proposals and reports, fundraising appeals, letters, and campaign focused pieces.

A Bachelor's Degree is required with a minimum of two years professional work experience. Previous fundraising and/or grant experience, particularly within higher education, is preferred but not required. Excellent written and oral communication skills and strong attention to detail and segmented audiences is mandatory.

This job will be a hybrid role with a minimum of 2 days weekly in-office.

Essential Duties:

  • Operate as key member of University's advancement team. Ensure all department communications are accurate, timely, appropriate, error-free and analyzed to ensure office goals are met and constantly improved upon.

  • Conduct research on prospective foundation grant matches for Transylvania funding priorities to present to the advancement AVP and VP.

  • Author foundation grant proposals in consort with appropriate, knowledgeable campus individuals and submit them in a timely and effective manner.

  • File current foundation grant reports to meet all deadlines, within an advanced window of time established by the AVP.

  • Establish and maintain calendar and progress chart for all grant reports and proposals.

  • Work with the VP and Director of Campaign Operations to craft effective case statements and publications for each priority giving area within the upcoming comprehensive campaign. Assist in authoring text for Campaign website and appeals.

  • Be responsible for authoring in-house appeals, segmenting group messages as instructed by the annual fund team.

  • Work with the director of advancement services to craft annual thank you letters to donors.

  • Write personalized major gift thank you letters to donors at the $25,000 and above level.

  • Proofread all written and email communications produced by both the alumni and development areas of advancement to ensure accuracy.

  • Assist gift officers and advancement services team in preparing campaign proposals, reports, and other documents to send to prospective and current donors. These include planned giving initiatives in tandem with the staff member overseeing this area.

  • Input information on proposals/reports filed and other donor contacts into CRM system within 72 hours of occurring. Update foundation activities and status on continual basis.

  • Advise and read faculty-initiated grant proposals to assist with submission of strongest possible application. Responsibility for writing these grants lies with the faculty member; this position will assist in advance knowledge-sharing of grant writing processes and final review.

  • Maintain strict confidentiality in handling personal and/or organizational information gleaned from research.

  • Secondary Duties:

  • Provide support to the Advancement Office as needed to help fulfill the University's mission.

  • Assist with execution of Alumni Weekend.

  • Perform other duties as assigned or required.
