Summary:

With general direction from the Administrative Manager, the Grant Administrator I will work with the Principal Investigators (PIs) to develop grant submissions, perform budget forecasting, monitor fund statements, resolve accounting issues, function as liaison to grantor agency, subcontracting institutions, and Mass General Brigham Research Management, and support the PIs with their post award grant administration.

The Krantz Center for Cancer Research has annual research revenue exceeding $40M, which supports the research of over 40 independent Principal Investigators (PI). Our investigators study everything from cancer cell genetics and epigenetics, metabolism and microenvironments, cell signaling and DNA damage, with studies of cultured cells, all the way to patient derived samples and specimens.

We are seeking a dedicated Grants Administrator to support 6-10 early career physician scientists in their career development. This role is crucial in assisting these scientists, who spend 80% of their time on laboratory research, as they navigate a career path in academic research.

Responsibilities:

  • Coordinates grant proposal preparation for a variety of sponsors (NIH, DOD, other HHS, state, foundation, philanthropic, and industry).

  • Prepares detailed budgets and justifications and prepares materials for financial reports.

  • Develops and monitors spending with PIs including salary allocations and purchase commitments. Re-budgets as necessary and allowed throughout the grant cycle.

  • Interacts with the Mass General Brigham Research Finance staff to establish and monitor active funds, assists in closeout of expired accounts, and resolves complex accounting issues.

  • Monitors expenditures and assures budgetary compliance; verifies, identifies and evaluates excessive charges. Analyzes cash flow to prevent deficit spending.

  • Works in conjunction with the PI and Partners Innovation to initiate material transfer, confidentiality and sponsored research agreements.

  • Advise regarding the allowability of costs to be charged to a grant.

  • Provides timely closeout of all expired projects through the coordination of fiscal and administrative resources throughout the system.

  • Stays current with all new and existing regulatory requirements and institutional policies/procedures and keeps PIs and department leadership informed of changes.

  • Working knowledge, or the ability to learn, policies and procedures related to grant submission and management.

  • Effective financial and analytical skills.

  • Exceptional interpersonal, organizational and time management skills

  • Careful attention to detail.

  • Creative and adaptive problem-solving skills

  • Working knowledge of MS Office Suite and Adobe Acrobat Pro

  • The incumbent will be responsible for overseeing a research portfolio with annual revenues between $3M and $5M.

  • Bachelor's degree required

  • 1 to 3 years' experience preferably in a healthcare or financial field

  • No direct supervisory responsibilities

  • Hybrid: Remote/On-Site combination. Basic office conditions within a proximity to wet lab space which include research specimens.
