About the Role

This is a temporary position for the Digital Inclusion Grant. This role involves development and execution of workplans that support grant cost tracking, invoice management, contract development, monitoring subcontract compliance with relevant administrative requirements. The Grant Administration Specialist coordinates across the project team to ensure grant compliance, budget and cost tracking, and provides analysis necessary for sustainability planning, a key part of digital inclusion strategy.

To be successful in this role, you:

  • Have minimum three (3) years of experience in grant administration, financial management, or a related role.

  • Have minimum three (3) years of experience with financial analysis and budgeting.

  • Have strong understanding of grant compliance requirements and financial reporting.

  • Have experienced with multiple different fund accounting systems and accounting software.

Essential functions and Roles and Responsibilities:

  • Develops and maintains workplans to track grant expenditures.

  • Ensures accurate and timely financial reporting.

  • Monitors subcontractor compliance with administrative requirements.

  • Ensures all contracts and agreements are executed in a timely manner.

  • Collaborates with the project team to develop and monitor budgets.

  • Tracks costs against budget and provide regular updates to the Program Managers.

  • Conducts financial analysis to support sustainability planning.

  • Works with internal and external stakeholders to ensure grant compliance.

  • Facilitates communication and coordination across the project team to align on compliance requirements.

  • Prepares and submits compliance reports as required by funding agencies.

  • Supports the Program Managers in the development of sustainable program initiatives.

  • Manages and processes invoices in accordance with grant requirements.

  • Provides analytical support to identify areas for program improvement.

Knowledge, Skills, and Abilities:

  • Excellent organizational and project management skills.

  • Proficient in Microsoft Office Suite, particularly Excel.

  • Proficient in preparing detailed financial reports, ensuring accuracy and compliance with organizational and regulatory standards.

  • Ability to conduct thorough budget analysis and forecasting to support financial planning and decision-making.

  • Proficient in developing and preparing comprehensive budgets for projects and grant applications.

  • Skilled in maintaining compliance with internal and external audit requirements, ensuring financial integrity and transparency.

  • Excellent communication and interpersonal skills, with the ability to work effectively across teams and with external stakeholders.

  • Familiarity with grant management software and tools.

Compensation and Benefits:

The position is FLSA Exempt and is not eligible for overtime. Based on market data, this position grade is 64E*.

Sensory/Physical/Mental Requirements:

Sensory:

  • Speaking, hearing, near vision, far vision, depth perception, peripheral vision, touch, smell, and balance.

Physical:

  • Extended periods of sitting, computer use, talking and possibly standing

  • Simple grasp, firm grasp, fine manipulation, pinch, finger dexterity, supination/pronation, wrist flexion

  • Frequent torso/back static position; occasional stooping, bending, and twisting.

  • Some kneeling, pushing, pulling, lifting, and carrying (not over 25 pounds), twisting, and reaching.

Mental:

  • Ability to learn and prioritize multiple tasks at a given time and have the capability of handling demanding situations. Analytical/problem solving/critical thinking ability.

Work Environment:

Office environment Employees who frequently work in front of computer monitors are at risk for environmental exposure to low-grade radiation.

  • Note: This position is grant-specific and is not eligible for the company incentive bonus program.
