JOB DESCRIPTION:

Maintain all financial activity related to federal, local, and private grants/awards applied for and received by the Lake County, Valparaiso, and South Bend-Elkhart Campuses. This position reports directly to the Grant Accounting Manager for the Lake County, Valparaiso, and South Bend-Elkhart Campuses. The position's home campus will be in South Bend, Indiana, with minimal travel among the various campus locations (less than 10%).

Functional Responsibilities:

Pre-Award Responsibilities:

  • Assist with the development of grant budgets for assigned campuses and the Resource Development Office / Ivy Tech Foundation under the direction of the Grant Accounting Manager.

  • Assist with the review of grant proposals for completeness and accuracy.

  • Prepare pre-award grant forms following college policy.

  • Track grant submissions and follow up on award status.

  • Assist with budgets following Indirect (F&A) Cost identification, assignment, and rate as determined by the Systems Office, as well as helping Project Directors understand why these rates are necessary.

  • Identify if the grant is funded by a Private, State, Federal, or Federal pass-through sponsor and if the recipient should be the College or Foundation based on current policy.

Post-Award and Closeout Responsibilities:

  • Routinely assist with the preparation of grant and gift forms.

  • Ensure completeness of internal files, including preparation of a summary document/abstract for each grant award and gift fund (shared drive and Asana).

  • Assist with managing calendar of key report dates and deadlines related to grants.

  • Review grant award checklists with Project Directors / Principal Investigators (PI) and Co-PIs.

  • Assist the Grant Accounting Manager with the review of programmatic and final reports.

  • Closely monitor grant award and gift fund balances, including preparation and processing of any accounting adjustments needed.

  • Assist with the preparation and/or distribution of monthly budget reports on grant activity.

  • Work with Fixed Asset contact at each campus to ensure grant equipment purchases are appropriately identified, inventoried, and disposed of following both College policy and Sponsor requirements.

  • Assist with grant closeout activities and processing, including preparation and processing of any accounting adjustments needed.

  • Follow College record retention policies.

  • Participate in ongoing training related to grant and financial policies, procedures, and systems/software.

  • Review payroll costing allocations for employees funded by grants or gifts, either in part or in whole, processing corrections as needed.

  • Assist with gathering audit documentation for both internal and external auditors.

  • Work with project directors to ensure they are compliant with federal regulations on grant compliance and data collection as mentioned in the grant award contract.

Starting Salary Range: $50,000 - $60,000/annual

QUALIFICATIONS:

  • Associate degree in accounting required. Bachelor's degree in accounting or finance or related field preferred.

  • 1-3 years previous accounting experience required.

  • Ability and willingness to travel within the service area (South Bend, Elkhart County, Valparaiso, Michigan City, East Chicago, Gary, and Crown Point) as well as Indianapolis for statewide meetings and/or training events.

  • Previous experience with grant budget development, grant accounting and grant reporting preferred.

  • Above average computer skills. Comfort using tools for virtual meetings (Teams, Zoom).

  • Knowledge of Microsoft Office required.

  • Experience with Workday preferred.

  • Strong written and verbal communication and interpersonal skills.

  • Strong organizational skills and detail-oriented.
