Osher Lifelong Learning Institute (OLLI) at the University of Hawai'i (UH) Manoa (https://olliuhm.augusoft.net//info/landing/about-us) campus is a year-round educational program for those aged 50 or older. This position begins September 2024, with continuous recruitment until filled; first review date Aug 30, 2024. The University of Hawai'i at Manoa (UHM) invites applications for a temporary, half-time, 11-month graduate assistant to assist with program coordination. This position serves as the Osher Lifelong Learning Institute's (OLLI) liaison with OLLI instructors and serves as one of the lead service representatives for the program. This position reports to the Director of the OLLI program and the Program Coordinator.

SALARY INFORMATION: $26,946 (annual minimum, Step 13) - applicants in MA program; $30,312 (annual minimum, Step 16 - applicants in PhD program; plus a tuition waiver. Health benefits such as medical, drug, dental and vision are available, with employee contribution.

DUTIES AND RESPONSIBILITIES:

Member Support: Assist members in course selection, technology navigation, and other program-related inquiries.

Registration: Manages registration process, including the updating and maintenance of the online registration process. Oversees database (Lumens) management; produces reports; provides service support throughout every phase of registration process; assists with course assignment process and troubleshoots to continuously improve the process.

Communications: Primary point of contact for all general email communications (olliuhm@hawaii.edu). Coordinate OLLI course brochures, newsletter and related materials using Canva (design software), and other applications.

Program Coordination: Collaborate with program directors and instructors in organizing events, scheduling classes, and maintaining the learning environment.

Recruitment of OLLI members: Helps coordinate membership recruitment process, including large mailings, email and social media campaigns; fields potential member inquiries via email, telephone, social media and in-person; gathers data on referral sources; explains program benefits and advises public on membership options.

Class & Instructor Assistance: Provide classroom support, both virtual and in-person, ensuring a smooth learning experience. Acts as the main point of contact for OLLI instructors. Maintains OLLI's technology equipment to support educational activities; trains OLLI instructors and members to operate OLLI equipment; offers training in OLLI protocols for courses offered via Zoom. Assists with the preparation of class and event materials including duplicating and distributing materials for in-person or virtual classes, and supports outside presenters with their technology needs.

Facilities Coordination: Collaborates with Program Director, volunteers, instructors, UHM staff to create a functional, convivial space for learning and community building. Provides logistical support; opens and prepares classrooms, sets up equipment as necessary. Duties may include setting up, breaking down, and moving tables and chairs to accommodate class needs.

Feedback Collection: Collect and analyze feedback surveys to continuously improve the program. work with OLLI Program Director to Collect and analyze feedback surveys OLLI courses and workshops to ascertain program quality and effectiveness.

Other duties as assigned.

MINIMUM QUALIFICATIONS

A continuing classified UHM graduate student in good academic standing with any field of focus with preference on the following:

  • Exceptional interpersonal and communication skills.
  • Strong listening skills and a compassionate nature.
  • Ability to work autonomously and as part of a team.
  • Utilize your soft skills, including problem-solving, effective communication, and adaptability, to excel in a collaborative environment.
  • Familiarity with modern communication tools and technology, with a willingness to assist others in using them.
  • Proficiency in Microsoft Office, Google Suite, Zoom and ability to manage multiple projects are essential.

At least one year of professional experience, preferably within a customer service role (includes retail / food & beverage).

DESIRABLE QUALIFICATIONS

  • Demonstrated experience or interest in working with senior populations.
  • Familiarity with: 1) graphic design tools such as Canva, or similar programs 2) social media 3) database programs such as Lumens.
