The Department of Economics has an outstanding opportunity for a Graduate Program Advisor.

The position oversees the day-to-day operations for the Economics Department's PhD and MA programs. This includes managing program policy and procedures, the admission process, and compliance to University and Graduate School policies, as well as determining allocation of funding to students through fellowships and ASE positions, and overseeing student advising. This position works independently as well as closely with the Graduate Program Director, Department Chair, Academic Services Director, and Department Administrator on graduate student service and policy matters.

DUTIES & RESPONSIBILITIES

ACADEMIC AND STUDENT SERVICES (50%):

  • Manage daily advising of graduate students, liaising with the Graduate School and International Student Services Office as necessary.

  • Advise Graduate Program Director, Chair, and Academic Services Director on departmental, Graduate School, and UW policies.

  • Lead quarterly allocation of TA, RA, and fellowship positions to approximately 50 students.

  • Manage job market process for graduating PhD students, including leading a workshop, website development, and managing faculty recommendation letters.

  • Schedule and manage semi-annual core and field exams (including retakes). Manage students' general and final exams throughout the year.

  • Manage and maintain graduate student and faculty research sections of departmental website.

  • Manage annual office assignments for graduate students.

  • Track student progress and manage academic probation process for students as necessary.

ADMISSIONS AND ENROLLMENT MANAGEMENT (35%):

  • Oversee admissions process, and serve as member of the Admission Committee, evaluating applications and making recommendations. Provide key information to prospective students and applicants throughout process.

  • Manage intensive communication process with admitted students, including offer negotiations.

PROGRAM DEVELOPMENT AND STRATEGIC PLANNING (10%):

  • Make policy recommendations to Graduate Program Director, Chair, and Academic Services Director.

  • Provide data as needed for reports, including enrollment, admission, and diversity.

  • Manage significant program changes as determined by the Graduate Committee.

  • Provide relevant data for requests, reviews and to outside agencies as required.

OTHER (5%):

  • Make recommendations to other University units as required, such as a proposal to change a Graduate School Memorandum.

  • Assist other local higher education institutions in hiring our students as temporary employees.

  • Serve on working groups to assist Graduate School in product development.

  • Plan and oversee orientation, Math Camp, and start of year events each autumn quarter.

  • Organize the PhD section of the annual departmental graduation celebration.

  • Other duties as needed.

MINIMUM REQUIREMENTS:

  • Bachelor's degree and at least 3 years experience in student services, academic advising, or similar.

Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

ADDITIONAL REQUIREMENTS:

  • Experience in program planning and management, preferably student services.

  • Excellent verbal and written communication skills.

  • Ability to work independently and as part of a team.

  • Experience planning, coordinating, and implementing meetings and events, including handling all logistical tasks.

  • Strong computer skills: Microsoft Office 365 and Google suite; Outlook calendaring and email; Teams; strong skills in creating and formatting PowerPoint presentations, the ability to create and modify Excel spreadsheets, and to produce and edit Word documents; Adobe Acrobat; and manage virtual meeting spaces and digital research.

DESIRED:

  • Familiarity with campus-wide offices, administrative contacts, campus structures, policies, and resources.

  • Experience with UW systems as MyGrad, SDB, IASystem, and Slate.

  • Proven ability to handle confidentiality with a high level of tact, discretion, and diplomacy.

  • Seeking candidates with a proven high level of organizational skills, computer knowledge, accuracy, and attention to detail.

  • Track record of successfully managing competing priorities using creativity and judgment.

  • The ability to anticipate needs and find creative solutions.

  • This position requires the ability to think creatively and strategically and have effective time management to prioritize competing demands.

Conditions of Employment:

  • May occasionally work evening or weekends.
