Job Description:

Join the College of Medicine's Office of Graduate Medical Education as a Graduate Medical Education System Specialist and serve as the institutional superuser for the Residency Management System (RMS), New Innovations, specializing in Evaluations and Reporting. Under the direction of the Senior Associate Dean of Graduate Medical Education, this position requires expertise in residency/fellowship coordination and evaluations, acting as a liaison with New Innovations (NI) IT help desk, UF Health IT, and our resident/fellowship programs. This hybrid position offers the perfect opportunity for individuals with ACGME accreditation experience, previous residency/fellowship coordinators, or those with a master's in education focusing on evaluation and assessment. The role allows for a combination of remote work and in-person responsibilities, providing flexibility and convenience for qualified candidates.

More About This Role

Daily Operations and Administration

  • Primary support for the GME Residency management system and other resident/fellow databases, ensuring their maintenance and support, and advising GME leadership on optimization strategies.

  • Subject matter expert for New Innovations, providing guidance to Residency/Fellowship Program Coordinators & identifying solutions to their inquiries.

  • Assist with planning and monitoring systems and processes to ensure ACGME institutional and sponsored program accreditation.

  • Prepare dashboards for the Graduate Medical Education Committee (GMEC), coordinate reporting requests including approvals, assist with developing New Innovations custom reports, run and analyze reports, and suggest improvements for reporting and monitoring processes.

  • Ensure effective communication with program coordinators/administrators regarding changes to NI and other related systems

Education and Training

  • Conduct NI-focused training sessions for new program coordinators and program directors/associate program directors.

  • Provide regularly scheduled training opportunities and ongoing workshops for program coordinators/administrators and program directors/associate program directors.

  • Collaborate on new and existing programming, such as Program Coordinator Skills Track for new program coordinators and mini modules in NI for ongoing education.

  • Monitor and assess the performance of program coordinators within New Innovations, providing feedback to the reporting supervisor and providing training support where needed to ensure the optimal use and effectiveness of the Residency Management System.

Institutional and Sponsored Program Accreditation

  • Manage duty hours, coordinate contract renewals, distribute GME checklists, and generate quality metrics and reports.

  • Track and follow-up on New Innovations notifications. Ensure compliance with ACGME guidelines.

  • Maintain current knowledge of accreditation regulations through conference attendance, reading materials and individualized learning to assure continued accreditation and growth of all programs.

Expected Salary:

$60,000 - $65,000

Minimum Requirements:

Master's degree in an appropriate area; or a bachelor's degree in an appropriate area and two years of relevant experience.

Preferred Qualifications:

The ideal candidate will possess:

  • 3 years or more years of related experience in medical education, healthcare education, institutional accreditation and project administration.

  • Proficiency in New Innovations or similar Residency Management System (RMS).

  • Experience with Accreditation Council for Graduate Medical Education (ACGME) including Accreditation Data System (ADSNational Resident Match Program (NRMP), and Electronic Residency Application Service (ERAS) and other similar application systems.

  • Comprehensive understanding of ACGME accreditation requirements and procedures, demonstrating the ability to quickly acquire working knowledge of policies, accreditation requirements, principles, and practices in Graduate Medical Education.

  • Educational background in evaluation principles (program and personnel) and competency-based education.

  • Excellent communication and interpersonal skills, showcasing the ability to collaborate effectively with diverse stakeholders.

  • Strong analysis, problem solving, and time management skills.

  • Established foundation for Excel-based data management and analysis.

  • Proficient in Word, PowerPoint, Outlook and Microsoft Teams.

  • Proven ability to build aptitude with specialized software.
