The Department of Physics is committed to educating our students and ensuring they are well-prepared for their future careers. Our graduate programs encompass a top-tier theoretical and experimental PhD program, along with a master's program designed to provide high school science teachers with practical pedagogical training in the modeling method of instruction. Across the two programs, we support around 100 PhD students' year long and around 10 master's students, mostly in the summer.

The ideal candidate for this position is a self-driven individual who thrives on working independently to manage diverse projects and support our graduate population. The selected candidate will work closely with program directors and the department manager to proactively oversee student affairs and program operations. Following an initial training and onboarding period, this position has the opportunity for a split between on-site (60%) and remote work (40%).

Working Environment

  • Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse (75%); required to stand for varying lengths of time and walk moderate distances to perform work (10%)

  • Frequent bending, reaching, lifting, pushing and pulling up to 25 pounds (15%)

  • Regular activities require ability to quickly change priorities which may include and/or are subject to resolution of conflicts

  • Ability to clearly communicate verbally, read, write, see and hear to perform essential functions.

Minimum Qualifications

Bachelor's degree in a field appropriate to the area of assignment and three years of related experience; OR, any equivalent combination of education and/or experience from which comparable knowledge, skills and abilities have been achieved.

Desired Qualifications

  • Experience working with students and faculty in higher education/college-level academic advising

  • Knowledge of ASU academic structure and organization

  • Experience using Student information computer systems (e.g., PeopleSoft, DARS, IPOS).

  • Experience using CRM (e.g., Salesforce)

  • Knowledge of advising practices, principles, and strategies thorough their application. Knowledge of academic programs, colleges, and departments university-wide

  • Ability to rapidly adapt and effectively utilize new technology, practices, policies and methods

  • Ability to establish and maintain effective working relationships with peers, faculty, students, administration and other interested parties

  • Ability to interpret student needs and determine when referral to other University resources is appropriate population

  • Ability to work collaboratively with a broad and diverse range of colleagues, constituents and students

Essential Duties

Advising • Develops and oversees program work plans in accordance with established unit and program objectives and funding limitations. • Coordinates and assists with academic events related to recruitment/retention. • Provides academic and program support, including course registrations and materials ordering. • Counsels and confers with students providing academic guidance. • Provides support to admitted students during the matriculation process. • Interprets and enforces program and university policies and procedures. • Collaborates closely with Program Directors to implement program policies and procedures.

Program Coordination • Works closely with the Department Manager and Program Director to track student progress. • Coordinates student course evaluations and notifies faculty. • Oversees the Student Success Center and its student workers. • Prepares detailed documents, proposals, reports, and provides analysis of data. • Gathers information and prepares administrative reports for management. • Completes annual program assessments and reports to internal and external stakeholders. • Regularly creates and reviews website content. • Proactively monitors and reports student academic performance. • Attends and represents the program, school, and university at professional development workshops and meetings.

Financial Processing • Coordinates the process, tracking, and implementation of graduate scholarship/fellowships. • Works closely with program directors on admissions and offer letters. • Collaborates closely with the Associate Chair of Academic and other key department players to resolve complex issues on TA and hourly placement and duties. • Submits tuition remission • Maintains the established budget and ensures adherence to it.

Salary Range

$57,000 - $70,000 per year; DOE
