Under the supervision of the Director of Language and Culture, the Administrative Assistant is responsible for initiating and coordinating administrative functions to ensure compliance with policies and procedures and to support the day-to-day operations of the Language and Culture Division. This includes, but is not limited to performing staff assistance on difficult-to-complex development of policy/procedural implementation, and tracking of multi-level projects pertaining to Language and Culture programs including planning, administration, organization, operation, and human resource.

ESSENTIAL FUNCTIONS: (includes, but is not limited to, the following)

  • Assists the Director of Language and Culture with all required federal, state, and tribal reports.

  • Prepares and tracks disbursement vouchers and other accounting paperwork for approval.

  • Assists with the development, implementation, and compliance monitoring of policies and procedures.

  • Receives, tracks, and routes the communication to/from Division (mail log, phone, email).

  • Attends and coordinates meetings including set up, clean up, sign in, minutes, and follow up.

  • Maintains employee time records by processing leave requests and entering/verifying Kronos/Payroll.

  • Coordinates travel for Language and Culture Division staff and other delegated team members, ensuring travel is reconciled in a timely manner and complies with all travel policies.

  • Maintains personnel information for Language and Culture Division staff including the annual calendar of training and evaluation schedules.

  • Maintains and logs all property inventories.

  • Maintains and orders office supplies and equipment.

  • Assists in the posting, interviewing, and hiring process as needed.

  • Coordinates and completes special projects assigned by the supervisor, including event promotion, registration, etc.

ADDITIONAL RESPONSIBILITIES: (includes, but is not limited to, the following)

  • Performs data entry and intake paperwork for programs as needed.

  • Participates in various meetings and special committees as assigned.

  • All other job-related duties as assigned.

CONTACTS:

Immediate peers, peers in other departments, immediate supervisor/manager, managers in other departments, customers, and outside vendors/service providers.

PHYSICAL REQUIREMENTS:

The position is sedentary, primarily sitting, lifting a maximum of 10 pounds. Physical factors include constant use of near vision and typing; frequent sitting, use of midrange vision, occasional standing, walking, carrying, lifting, stooping, kneeling, climbing, pushing, reaching, manual handling, use of hearing, smelling, far vision, depth perception, color/field of vision, travel and bending; Working conditions include occasional exposure to weather, extreme cold, and noise, Potential hazards include constant computer use, occasional moving mechanic parts, electric shock, chemicals, infectious exposure, client contact, and equipment.

Working conditions include contact with the general public, client contact, and infectious exposure. Exposure to outdoor environments including wooded, field, and uneven terrain for gathering, ceremonial or research purposes. Protective equipment/ clothing needed to perform the job include; a hazard kit with protective gloves, mask, etc., and personal protective equipment.

REQUIREMENTS:

Education: High School Diploma or GED required. Associates Degree in Office Management, Office Administration, Business Administration, or related field is preferred

Experience: Minimum three years of performing general administrative tasks in an office setting required. Three years of experience working in a field related to language and culture is preferred.

Certification/License: Must have a valid driver's license and be insurable by the Sault Tribe Insurance Department.

Must comply with annual driver's license review and insurability standards with the Sault Tribe Insurance Department. Will be required to undergo and successfully pass a background check. Must maintain a good moral character standing. Will be required to complete and pass pre-employment drug testing.

Knowledge, Skills, and Abilities: Experience working with Native American families preferred.

Must have working knowledge and be able to use word processing and spreadsheet and database software. Must have knowledge of modern office practices. Must have working knowledge and be able to use office machines, such as calculator, copier, fax, printer, and computer.

Must have excellent organization skills; organizing work, prioritizing tasks, and managing time. Must have excellent time management skills. Must be able to communicate effectively both orally and in writing.

Must be able to speak in public and conduct presentations. Must be able to maintain and generate accurate and complete records and reports. Must be able to handle multiple projects.

Must be able to handle crisis situations and emergencies. Must be able to work with minimal to no supervision. Must maintain confidentiality.

Knowledge of presentation and accounting software. Basic knowledge of Anishinaabemowin and Anishinaabe customs is preferred. Native American preferred.
