Job Description:

This position is located within the Division of Blind Services in Tallahassee,Florida. The incumbent in this position will serve as the assistant to the Bureau Chief of Client Services & Program Support. Duties will include organizing meetings, securing lodging and meeting space, reviewing and editing policies and procedures prior to dissemination, and processing travel authorizations and reimbursements for the Bureau.

Examples of Work:

  • Serves as the Bureau's personnel liaison, as such the incumbent will be responsible for preparing personnel action requests, preparing and routing recommendation packets, preparing/drafting memos, completing forms, and working with the division's Personnel Administrator as needed on HR-related duties.

  • Prepares documents and correspondence, prepare, and submit travel authorizations and travel reimbursements, maintain all administrative records, and other documents as directed.

  • Maintains travel logs/vehicle records for the district offices and prepares monthly fleet reports.

  • Assists the Bureau Chief with special projects and daily activities to ensure timely completion of all tasks assigned to and by the Bureau Chief.

  • Creates, reviews, and edits spreadsheets, presentations, and other MS documents prior to dissemination.

  • Provides general information and technical assistance to field staff and the public.

  • Responsible for records management, setting up new files and filing systems, and maintaining the current filing system for the team.

  • Assists with planning and facilitation of meetings and special events.

  • Serves as the back-up to the Director and Deputy Director's assistant during absences and vacancies.

  • Perform other duties as requested.

  • Some travel may be neccessary.

Minimum Qualifications:

  • Bachelors degree or its equivalent.

  • College education from an accredited institution can substitute at the rate of 30 semester or 45 quarter hours for each year of the required nonsupervisory/non-managerial experience.
