DESCRIPTION

This position provides assistance and project management for the coordination of meetings for the regulatory boards within the Division of Medical Quality Assurance. This position independently performs work related to the analyses, managing and monitoring of vendor agreements, independent decision making and obtaining solutions by operating within well-established policies, laws, rules and guidelines. This is a sensitive position that handles confidential information on an on-going basis as the unit's Americans with Disability Act (ADA) coordinator.

Organizes and plans all aspects of meetings or events for regulatory boards. This includes participating in contract negotiations and evaluations with a variety of vendors for meeting sites, development of agreements with the facility for meeting space and hotel rooms for board members and staff, sound systems, audio-visual equipment, security, and any other logistical activities required.

Serves as an agency contract manager and monitors compliance with the mandatory requirements as stated in F.S. 287 & 215. Assist in the solicitation process and help develop procurement documents resulting in vendor agreements.

Manage Purchase Orders and/or arranges for payment with the state-issued Purchasing Card (P-card) for meeting rooms, audio-visual equipment, destruction of board materials (confidential), and security when needed. Ensure all invoices are billed correctly and paid according to state guidelines.

Perform a reconciliation of all Purchasing Card charges. Process board member travel, ensuring travel reimbursement is in compliance with s. 112.061, Florida Statutes. Coordinate with the Florida Department of Health's Finance and Accounting office to ensure timely reimbursement.

Communicate with board staff regarding hotel reservations. Communicate with regulatory board members regarding changes in state contracts relating to travel. Participate in the strategic planning process for all meetings and events to ensure continual improvement and quality customer service.

Coordinates, schedules, manages, tracks and facilitates all activity related to ADA determinations, accommodations and requests for all professions and examinations. Ensures compliance with federal, state, and department requirements as they pertain to ADA.

Maintains tracking system for all ADA requests and accommodations. Assist the contract manager to ensures the appropriate purchase orders are in place for all consultants.

Defines designs, and documents work and organizational processes through desk guides and prepares process mapping to evaluate and analyze operations; develops potential improvements and works with management to implement approved changes. Conducts special projects and studies, research, analyses, and prepares reports relating to policy and operations.

The salary for this position is $34,501.48 annually. Must be able to work hours from 8:00 to 5:00 Monday through Friday.
