This individual works to ensure information and records are maintained consistently across the enterprises business units in compliance with legal and operational requirements. This individual is a manager reporting to a Legals Chief of Staff. S/he is responsible for all recorded information and assists in strategic planning that reflects the vision, direction, standards, and mission of the organization. This includes Program definition, training, and coordination with managers of other corporate support groups.


Drive New Initiatives. Implement and maintain strategic initiatives to enhance the Records and Information Management Program. Develop and execute a plan to expand the Program globally with regional acceptance. Apply Policy Center Solution (PCS) and Global Research Service (GRS) for all regions; reestablish disposition efforts for paper; and manage other program enhancement projects. In addition, support efforts involving new customer service offerings.

Manage the Companys Records and Information Management Program . Develop and issue records and information management (RIM) policies for review and approval. Establish and implement standards for global records and recordkeeping practices in accordance with policy. Issue and implement records management procedures and guidelines. Educate and train employees on records management policies and procedures: new hires, on-going training/certification. Develop metrics to monitor compliance of business units to RIM Program policy.

Program Planning and Coordination. Partner with Information Technology (IT) to drive electronic records best practice and compliance, including understanding RIM controls available in newly acquisitioned software. Coordinate with Information Security and Legal Privacy & Compliance to ensure the Program is in alignment with their policies and procedures including GDPR and the California Privacy ACT. Work with internal Marketing/Communications to communicate about the Records Management Program. Stay current with emerging RIM trends/topics and propose any necessary updates to the Program as required.

  • 2-7 years Experience

  • Bachelors Degree preferred

  • Good listening skills and a positive can-do attitude

  • Professional certification (CRM, CDIA) and/or 3 to 4 years of experience with records management concepts and operations and recordkeeping requirements for compliance,

  • litigation support and risk assessment in a corporate setting is preferred

  • Leadership skills and the ability to influence and achieve results through others

  • Critical thinking skills to evolve program from paper to digital

Department of Energy (DOE), invites applications for a Manager – Document Control and Records Management (DCRM). The incumbent Manager – DCRM is responsible for providing leadership, overall coordination, and oversight of the Laboratory's implementation of its DCRM programs. The Manager will frequently engage managers and staff at all levels in the effective implementation of these programs in accordance with DOE and regulatory requirements with a focus on facilitating efficient program implementation by the Laboratory implementing organization(s). The Manager will also continuously evaluate performance and initiates timely actions to continuously improve program efficiency and effectiveness. Responsibilities The incumbent Manager owns the Laboratory's DCRM programs. This includes responsibility for overall leadership; including initiatives, process development, and the effective implementation DCRM. Specific responsibilities are noted as follows: * Develops new process(s) as needed, and improves existing processes, for an effective and efficient DCRM program at the Laboratory. * Oversees effective implementation of DCRM program. * Communicates DCRM requirements and processes throughout the PPPL organization. * Defines DCRM training requirements and designs and delivers DCRM training to designated document control and records management coordinators and affected PPPL managers and staff. * Serves as PPPL's subject matter expert responsible for maintaining its DCRM program documents and procedure(s). * Interfaces with the Information Technology Department for the effective and efficient use of PPPL's electronic DCRM system. * Establishes and uses key performance indicators to monitor program performance. * Serve as an interface with external stakeholders including Princeton University and DOE officials. * Initiates needed changes to continuously improve program efficiency and effectiveness. Qualifications * Bachelor's degree, preferably in business, engineering or sciences. * Minimum 10 years of industry experience; 5 years of which must be in implementing DCRM programs at a Department of Energy (DOE) research laboratories, commercial nuclear power plant, or at other heavily regulated industry organization (e.g. a pharmaceutical company). * Knowledge of DCRM processes and software. * Strong leadership skills; demonstrated by initiatives, personal traits, and achievements in DCRM or other areas. * Confidence and demonstrated skills and ability to successfully interface with multiple levels of management and staff. * Effective verbal and written communication skills. * Demonstrated team building skills, including the ability to work effectively with peers, other organizations, project sponsors and stakeholders.
