This role is within Vanguard's Corporate Real Estate and Facilities Management Division (CREFM).

The Global Lead- Senior Occupancy Planning Strategist will be responsible for developing and managing strategic initiatives across Vanguards global real estate portfolio. The Lead will provide oversight to ensure that Vanguards real estate Master Plans aligns with the companies forward looking global and regional business objectives . The Space & Occupancy Planning Global lead will also ensure policies, processes, and procedures are aligned the portfolio.

Duties & Responsibilities

Own delivery of Vanguards real estate annual Master Plans. Develop "What if?" scenario models to support business decisions and forward-looking demand projections as well also provide oversight of all regional planning models and scenario development.

  • Achieve efficient and effective use of space in alignment of business objectives and workplace strategy; manage service provider(s) space and occupancy management support activities; participate in related supplier governance.

  • Liaise with Business Relationship Management Lead, Real Estate Strategy Lead, and Workplace Experience Leads, Human Resources Workforce Demand Leads, and Business Leads to obtain Voice of the Customer insights and space needs; align requests to long-range 1-3-5 year Workplace Strategy plans and global Master and Capital planning budgets.

  • Develop and manage CREFM space and occupancy management policies, processes, and procedures that support workplace experience and real estate portfolio strategies. Support socialization of space standards and occupancy trends within CREFM and with key business stakeholders.

  • Drive an Integrated suite of web-based applications (i.e., Computer-Aided Facility Management (CAFM) solution); own CAFM data output.

  • Lead periodic / recurring utilization studies and analysis globally to inform future state needs and opportunities for efficiencies; Collect all Pre and Post-occupancy metrics; provide analysis and benchmarking. Deliver periodic updates on space utilization leveraging available data and in support of broader performance management and governance activities.

  • Oversee design consistency (test fit / concept / basis of design) to ensure Vanguard space and design standards are maintained and employed.

  • Advise on site classification, amenities, and service levels.

  • Develop short-term and long-term programs for innovation, construction, or alteration of workplace activities based on strategic plans owned by the Global Workplace Strategy lead.

  • Manage process for field studies and onsite space reviews for projects; support development of project documentation; track and manage physical space within the property portfolio.

  • Manages staff. Provides guidance, coaching/development, and motivation as necessary to develop staff. Hires, manages performance, evaluates, and counsels crew. Follows corporate disciplinary procedures per established Vanguard standards as required. Sets performance standards, reviews performance, provides feedback, and recommends wage increases/adjustments in accordance with all applicable Human Resources policies and procedures.

  • An undergraduate degree or an equivalent combination of training and experience (architecture, design, engineering, real estate, facilities management, business, etc.); Technology skills, including working knowledge of space and occupancy related systems (e.g., workplace management systems / CAFM, AutoCAD).

  • Minimum 12 years of space & occupancy management, workplace innovation, workplace design, workforce planning, portfolio planning, workplace strategies, master planning, management, and customer relationship management, or related experience (e.g., architecture) is required.

  • Prior experience of planning and programming flexible facilities (specifically: ABW environments for increased flexibility); Professional certifications (e.g., Master of Corporate Real Estate (MCR), Senior Leader in Corporate Real Estate (SLCR), etc.) preferred.

  • Excellent leadership, organizational, and interpersonal skills with the ability to drive change, generate creative approaches / solutions and the desire to make CREFM's Global Workplace team a "best-in-class" global organization.

  • Demonstrated executive presence and poise; ability to interact effectively with senior management as well as various levels of staff and management across the organization.

  • Demonstrated ability to function in a fast paced, ambiguous environment working with multiple and diverse responsibilities.

  • Excellent relationship management skills as the role entails significant interaction with a variety of external and internal senior leadership; strong communication skills, both written and oral; required.

  • Ability to think strategically while maintaining a tactical focus and ability to adapt emerging leading practices and industry innovation; required.

  • Ability to manage complexity across a broad region and deliver harmonized services across areas of varying size, scale, and needs; ability to lead diverse teams through change and organizational transformation; required.

  • Proficiency in project management, including obtaining agreement on project definitions and priorities and ensuring that resources, capabilities, and processes are in place; required.

  • Knowledge of Vanguard business lines preferred; must be able to travel regularly between sites, up to 10-25% of time as needed.

Basic Qualifications: * Bachelor's Degree * 6+ years of editorial experience, ideally with a mix of journalism and corporate editorial experience. * Solid background covering issues in the HR space in order to act as a thinking partner to colleagues in Research Ideation and Research Execution. * Experience managing freelance content developers. * Experience with content management systems, including Quark. * High execution skills, with ability to consistently produce quality results. * Comfortable working in a collaborative, virtual environment, providing and accepting continuous feedback and support.
