Job Description: Care & Wellness Advisors are key team members of the health, safety, and student affairs team and work with an assigned caseload of students and function as a team in periods of high volume. Both Care & Wellness Advisors work with international staff and individual students to facilitate resources and support plans for student wellness abroad. The Advisors achieve these goals by managing student needs prior to departure, collaborating with colleagues for incident response and case management, and working with the health, safety, and student affairs teams to develop informative materials and programs that create community awareness and access to resources. The majority of a care and wellness advisor's day to day work consists of pre-departure individual health and wellness advising and case management for students abroad.

Hybrid environment allows all employees at TCGS to currently work remotely two days per week when it is in TCGS' best interest; However, any supervisor can request employee work from the TCGS office.

This position serves in an on-call duty rotation. Virtual incident response meetings may be required outside of business hours.

Responsibilities:

  • Pre-departure engagement/programming

  • Work with assigned caseload of students to deliver pre-trip planning (PTP), i.e. personalized health and safety advising for pre-existing conditions and anticipated needs in the pre-departure stage of their study abroad planning

  • Collaborate with, or escalate, PTP needs (social, religious, ability accommodations) which are less specific to health and safety to the Assistant Director of Student Life, as appropriate.

  • In coordination with the other Care and Wellness Advisor, Assistant Director of Student Life, and Advising and Student Engagement Team, implement, and participate in pre-departure health and safety training for campus and TCGS students.

  • Regarding student wellness needs, collaborate with the other Care and Wellness Advisor and Program Advisors and communicate with on-site staff, other offices on campus, and partners as required.

  • Collaborate with the Care and Wellness Advisor to develop resources and conduct workshops for our students on all areas of student wellness, including but not limited to: coping with stress, removing the stigma of getting help, self-care, mental health concepts, and student resiliency etc.

  • Facilitate the transfer of general information about campus/partner services and events, with emphasis on mental health awareness and resources.

  • Incident Response

  • Serve on a rotated staffing for on-call incident management/emergency support for The College of Global Studies during business and non-business hours. Respond to calls from families, homeschools, staff, and sometimes students related to student safety, illness, and individual/group real and perceived emergencies.

  • Ensure proper protocols are in place and followed in the event of a student incident or crisis situation.

  • Serve on the crisis response team for large-scale incidents. Complete assigned tasks, document the steps taken, and manage communications with the appropriate parties both on and off campus.

  • Case Management

  • With the Director of Health Safety and Student Affairs (The Director) and another Care and Wellness Advisor, oversee incident reporting; manage cases reported by TCGS staff and ensure documentation and incident reporting of student issues and incidents is in line with established protocol.

  • Maintain a caseload as a non-clinical case manager for students who are struggling with adjustment, health, and psychosocial issues in the higher education environment. This includes collecting documentation, orchestrating referrals, communicating with health and safety team, overseas program staff, and homeschool institutions

  • Utilize the case management database and alert case management team to suggested maintenance

  • In conjunction with The Director and onsite staff, manage student incidents and escalate as appropriate to ensure necessary level of support is provided. Liaise with the travel assistance provider to open cases and assist with insurance claims as needed.

  • Identify, along with staff referrals, students for whom behavior or patterns of incidents designates them as a student of concern

  • Lead in the development of strategies to identify students in need and initiate referrals if needed.

  • Communicate with partner organizations/institutions and parents/families regarding our health and safety standard practice and incidents related to student health and safety.

  • Design follow up plans by actively engaging other teams (e.g. finance, academic) by helping to highlight and resolve items related to program impact during incidents with program-impact. Communicate next steps with families, staff, and other teams as necessary.

  • Participate in pre-departure health form discussions and students of concern meetings

  • Program Risk & Compliance

  • Remain up-to-date and informed on new and existing federal, state, and local reporting compliance requirements for study abroad, including the Clery Act, Title IX, Arcadia's sexual misconduct policy, and keep abreast of pertinent information from colleagues in the study abroad field.

  • Provide general travel advice and specific health and safety guidance to faculty and staff participating in University-sponsored travel.

  • In collaboration with the Health and Safety team leadership, stay abreast of health, safety and security trends and make recommendations on insurance and international travel and security assistance coverage

  • Travel advice & insurance support

  • Serve as the lead contact for inquiries or resolution of outstanding services with the University's international travel and health insurance policies and assistance provider

  • Advise constituents on accessing Arcadia's insurance and assistance providers, including services, claim assistance, and coverage details

  • Policy development and staff training

  • In conjunction with The Director, develop resources and support policy development that provide best practices and guidance to health, safety, security, risk and business support for the University.

  • Serve as a resource to university and college leaders, as well as The College domestic and overseas staff on health, safety and security best practices.

  • Assist in training of staff on regulations, protocols, and best practices related to health, safety and security. Develop crisis/emergency tabletop exercises as needed.

  • Representation

  • Represent the College at events, meetings, and on committees related to health, safety and security such as PULSE, OSAC and the University's Travel Advisory Committee.

  • Represent the College at events, meetings, and on committees related to health, safety and security; attend and/or make presentations at national and regional conferences on best practice in health and safety.

  • As funding permits, attend and/or make presentations at national and regional conferences on best practice in health and safety.

  • Respond to partner inquiries, surveys and requests for meetings to share our approach and respond to partner needs and concerns.

  • Contribute to special or ongoing projects related to institutional engagement around international health, safety, and student wellness.

Qualifications:

  • Required Knowledge, Skills and Abilities:

  • Demonstrated advising skills with the ability to support a diverse group of students through difficult situations

  • Demonstrated understanding of the international education field and the current student success and wellness issues impacting U.S. students studying abroad

  • Demonstrated ability to remain calm, multi-task, and prioritize in the face of challenging and unusual situations involving students

  • Demonstrated ability to exercise excellent judgment and engage in collaborative, critical decision making while under pressure

  • Strong written and oral communication skills and attention to detail. Quickly and accurately recall details specific to individual cases for optimal team communication.

  • Past evidence of successful creativity and comfort with experimentation and trial and error in programming

  • Proficient with information technology tools including CRM software/Salesforce strongly desired

  • Preferred skills and abilities:

  • Minimum of three years of experience in a student-focused higher education setting

  • Minimum Qualifications:

  • Bachelor's degree required, graduate degree preferred

  • Ability to perform within best practice in higher education and be customer-service oriented with our constituents (families, universities, students) in high-stress environments

  • Minimum of two years experience in incident response and/or case management

Conditions:

In addition to serving on an on-call incident response rotation, In the event that the Health and Safety team is engaged in a serious or large-scale incident outside of business hours, the Care and Wellness Advisor may be asked to support the emergency response team, document the steps taken, and manage communications with the appropriate parties both on and off campus.
