Reporting to the Director of Advancement Services, the Gift Entry Coordinator assists the Director and advancement team and is an integral part of Deerfield's fundraising and administrative team.
Primary Duties and Responsibilities
Ensure the accurate and timely entry and management of contribution data through the initial entry, maintenance, research, and analysis of various donations and records for the Office of Advancement
Ensure optimal utilization of the Academy's database systems through comprehensive understanding of data exchange processes between the advancement database and the Academy's enterprise system
Analyze, prepare, and enter donations accurately and efficiently to help ensure proper donor credit and gift accounting including calculation of stock gifts based upon information provided from Finance Office and submission of matching gift requests accurately and efficiently
Deposit gifts, feed gift transactions to general ledger and provide feed reports to Finance Office in a timely manner to maintain interoffice communication. Notify Finance Office of gifts received through a variety of methods as well as work with the Finance Office on any necessary gift reconciliation
Manage the timely receipt and acknowledgement of gifts
Answer donor questions related to giving history, and assist with processes such as chargebacks and deposits
Ensure adherence to IRS guidelines pertaining to charitable contributions for legal compliance for both donors and Deerfield
Maintain and update online recurring and ongoing donations including failed and suspended credit card transactions accurately
Update and maintain accurate files for the Auditors and the Office of Advancement to help protect the Academy's 501(c)3 status
Maintain accurate biographical information and data for multiple Academy constituencies using multiple databases to ensure the highest degree of data integrity and accuracy, gleaned from donation documentation alumni surveys, on-line directory and other sources as needed
Responsible for monitoring and responding to emails received into the general Alumni mailbox
Assist with data entry projects as needed and provide support for special events, projects and mailings as needed
Assist as needed in running database reports and mailing lists
Assist with telephone coverage to serve as first level of contact for inquiries from donors and alumni
Other duties as assigned
Job Specifications
Associate's degree required
1 - 3 years of experience in Advancement, or equivalent combination of working knowledge and education
Strong attention to detail, self-motivated with the ability to focus on repetitive tasks
Possess a level of excellence in data entry and in use of MS Office products, especially Excel, Outlook, and Word.
Excellent verbal and written communication and organizational skills
Demonstrated commitment to diversity and inclusion and to serving the needs of a diverse community
Ability to multitask in a fast-paced environment
Ability to manage, and sensitivity to, highly confidential information
Ability to work independently and as part of a team
A high level of integrity and a strong work ethic
Physical Job Demands
Close visual acuity to analyze data and figures and to view a computer terminal
Ability to sustain substantial movements of the wrist, hands and/or fingers
Ability to occasionally lift, carry, push, pull or otherwise move objects up to 10 lbs
Ability to occasionally stoop, kneel or reach
Working Conditions
The worker is mainly in an office environment, and not substantially exposed to adverse environmental conditions.
