The Practice Coordinator will provide support to the Practice Manager, assist in the day-to-day operations of the practice, and will assist the Practice Manager in adherence of all SHMG policies, regulations, goals and initiatives.

  • Assist Practice Manager with overall operational responsibility for the routine business and clinical functions through administrative and clinical staff including front desk, medical records, nursing, and ancillary services to ensure maximum utilization of resources and the efficient delivery of services of his or her assigned practice locations.

  • Prepares various documents and handles confidential matters in accordance with rules, policies and procedures.

  • Handles all surgical case scheduling and preoperative planning.

  • Ensures the office space, supplies and equipment are provided and maintained appropriately for medical staff and patient care.

  • Assist in resolving third party vendor, physician and patient billing related matters.

  • Ensures mail is opened and processed, and offices are opened and closed according to procedures.

  • Provides support to the front desk clerks, file clerks, schedulers and referrals as needed. This position is the primary back up for administrative and clerical staff.

  • Runs errands as necessary at the request of the Practice Manager and/or Medical Site Directors.

  • Oversees and is responsible for maintaining and cataloguing records in storage.

  • Supports and upholds established policies, procedures, objectives, quality improvements and safety.

  • Practice and adhere to Stamford Health's "Code of Conduct" philosophy, SHMG's Standards for Service Excellence and organizational values of: Teamwork, Integrity, Compassion, Respect and Accountability.

  • Complies with departmental organizational policies and procedures and adheres to external agency requirements.

  • Resolves any medical-administrative problems and keeps lines of communication open with staff to ensure high employee morale and a professional, healthful clinic atmosphere.

  • Recommends, develops, implements improvements for the practice.

  • Monitors and reviews the patient registration, data entry into the system and charge capture for timeliness, accuracy, and thoroughness to ensure optimal charge capture for services rendered.

  • Enhances operational effectiveness, emphasizing cost containment without jeopardizing important innovation or quality of care.

  • Maintains compliance with Medicare, HIPAA, OSHA, and Labor Laws.

  • Cross train to be able to cover all administrative roles in the practice on a routine basis or as needed.

  • Ensure maintenance of the physical building, including routine maintenance of equipment.

  • Ensure ongoing commitment of excellence customer service and supports the customer service plan.

  • Perform other duties as assigned.

  • High School diploma is required, Associates Degree preferred.

  • Office management, supervisory experience and minimum of 3 years administrative experience is required.

  • Must exhibit a high degree of responsibility in confidential matters.

  • Knowledge of office record keeping and workflow processing is required.

  • Ability to work independently and balance multiple priorities is required.

  • Effective communication skills, both verbal and written English proficiency required

  • Excellent organization, problem solving, and listening skills are required. Knowledge of medical terminology is preferred.

  • Strong interpersonal skills are required. Broad based experience successfully working with physicians and individuals.

  • Proficient in Microsoft Word, Excel and Outlook. Knowledge of Database software is required. Working knowledge electronic medical records software is highly preferred.
