  • Examining incoming material and code it numerically, alphabetically, or by subject matter.
  • Performing repetitive motions, over long periods of time, to maintain or update physical files and paperwork.
  • Inventorying files on shelving units by scanning barcodes and updating electronic systems.
  • Entering necessary information into databases or other electronic systems.
  • Ensuring that paperwork is properly connected and affixed to files in a timely manner.
  • Whenever records cannot be located, will search for the missing material.
  • Lifting, transporting, and storing boxes of files weighing up to 45 lbs.
  • Locating and routing files physically or electronically to the requestor.
  • Requesting documents from external offices and other file locations as required.
  • Interacting with personnel to ensure proper delivery of all files requested individually or for work orders.
  • Supporting File room and Data Entry operations.
  • Working collaboratively with teams to meet production and quality standards.
  • Completing other duties as assigned.
Minimum Requirements:
  • U.S. Citizen.
  • Public Trust clearance, or the ability to obtain and maintain one.
  • High school diploma or equivalent.
  • Demonstrated ability to read and understand proficiently in English.
  • Demonstrated ability to lift and carry up to 45 lbs. or more in a physical environment.
  • Demonstrated ability to perform tasks while bending, stooping, climbing, and reaching.

Essential Duties & Responsibilities: * Process incoming mail for invoices for CBP and distribute mail addressed to building branch departments. * File and retrieve records from the file room for Commercial Payments and Travel, International and IPAC Payment Branches for reviews, payments, and audits. * Assist CPB and TIIPB Teams with needed supplies and support. * Monitor and maintain printers, copier paper and toners levels. * Assist with ordering office supplies, along with copy paper, printer drums and toner supplies. * Conduct weekly vaccine calls from list of randomly selected vaccine orders and verify vaccine shipments received. * Prepare records to be transferred to Federal Records Center. * Maintain a log report of all returned invoices by vendor, contract number, dollar amount and date. * Maintain regular and punctual attendance. * All other duties as assigned. Job Requirements Minimum Qualifications: * High School Diploma or GED. * 1 year of Federal Records Management Experience. * Must be able to obtain Government Clearance. Permanent Resident Card (Green Card) or U.S. Citizenship required. Special Skills: * General knowledge of office procedures and standard support processes. * Knowledge of commonly-used concepts, practices, and procedures. * Work independently to complete assignments, performing tasks using knowledge of routine office procedures. * Experience using Microsoft Office 7 (Word, Excel, Access, PowerPoint, Outlook) Adobe and other media type software. * Excellent communication and interpersonal skills. * Must be exceedingly well organized, flexible. * Strong organizational skills and detail oriented. * Ability to prioritize multiple tasks successfully. * Demonstrated ability to perform diverse duties under operating and deadline constraints. * Demonstrates accuracy and thoroughness; monitors own work to ensure quality.
