PROBATION

All persons, including current City employees, selected for this position must complete a mandatory 6-month probation.

The Mayor's Office of Employment Development (MOED) coordinates and directs workforce development initiatives responsive to the needs of Baltimore City employees and job seekers in order to enhance and promote the local economy. Baltimore YouthWorks Summer Jobs Program is one of the largest summer jobs initiatives in the nation. For the past 5 years, the goal has been to offer 8,000 City youth an opportunity to work and earn wages during the summer months. Built on the unspoken expected reality that a large percentage of black and brown youth would have unequal access to a summer job because of structural and institutional racism, YouthWorks prioritizes those most impacted - youth receiving public assistance, low wage families and youth connected to the Department of Juvenile Service.

POSITION OVERVIEW

The General Clerk position provides office support responsibilities to and for the Summer Youthworks Data Assistant and staff. Work is performed under the supervision of the Youthworks Manager and Data Assistant. Assignments are routine in nature and completed in accordance with general work instruction and established office practices and procedures.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Operate and Manage Communication Systems: Answer, screen, and document calls on a multi-line telephone system, ensuring professional handling of inquiries and directing them to appropriate YouthWorks or MOED staff.
  • Provide Excellent Customer Service: Represent the agency's customer service philosophy with integrity by delivering accurate information about YouthWorks and MOED programs, greeting visitors, and following up on inquiries.
  • Support Staff: Support Data Assistant facilitation of YouthWorks events, training sessions, programs and projects
  • Administrative Functions: Assist with coordination and facilitation of mailings, promotional materials, drop-off appointments, etc
  • Coordinate Supplies and Equipment: Assist with ordering supplies, maintaining equipment distribution list, tracking pay and charm cards distribution, etc
  • Maintain Work Environment: Keep the reception area organized and updated with Youthworks and MOED information while ensuring guest are met to a welcoming environment.
  • Perform Additional Tasks as Assigned

MINIMUM REQUIRED EDUCATION AND EXPERIENCE

  • High school diploma or equivalency
  • Two years of clerical experience
  • Three years of Office Assistant experience
  • Or comparable college course work

ADDITIONAL REQUIREMENTS

  • Ability to pass a mandatory criminal background, fingerprinting, plus alcohol screening
  • Work schedule for this position is in-person from 8:30am to 4:30pm Monday through Friday
  • Must be flexible to work some evening and weekend hours

KNOWLEDGE, SKILLS, AND ABILITIES

  • Ability to work in a fast-paced environment
  • Solid ability to operate Microsoft Office software
  • Solid time management skills to effectively manage multiple priorities
  • Solid verbal and written communication skills
  • Analytical skills, adapting readily to changing priorities, detail orientated and ability to maintain confidentiality
  • Solid skills to quickly evaluate service delivery issues and identify resolution
  • Solid data entry experience
  • Skills in MS Office Products: Word, Excel and Share Drive
  • Proficiency in various virtual communications platforms such as Zoom, Google, Microsoft teams, etc
