Job Overview:

The Sr. Unit Clerk will complete the clerical tasks assigned by the supervisor in accordance with corporate guidelines. Provide accurate, friendly quality service to customers/clients when processing customer/client transactions. The general responsibilities of the position include those listed below, but Sodexo may identify other responsibilities of the position. These responsibilities may differ among accounts, depending on business necessities and client requirements.

/General Responsibilities:
/

  • Performs routine and varied clerical duties in accordance with standard procedures.

  • Performs activities such as photocopying, compiling records, filing, tabulating, posting information and scheduling appointments.

  • Writes types or enters information into computer to prepare correspondence.

  • Prepare issues and sends out receipts, bills, policies, invoices, statements and checks.

  • Maintains records, prepares forms, verifies information and resolves routine problems.

  • Conducts research when necessary.

  • Operates various office machines.

  • Opens and routes incoming mail, answers correspondence and prepares outgoing mail.

  • Answers telephone, conveys messages and runs errands.

  • May receive, count and deposit cash, as needed.

  • May include human resources functions (including benefit administration, personnel action forms and payroll processing) for the unit as well as the district and region.

  • Complies with all company safety and risk management policies and procedures.

  • Reports all accidents and injuries in a timely manner.

  • Participates in regular safety meetings, safety training and hazard assessments.

  • Attends training programs (classroom and virtual) as designated.

  • Serves as a lead unit clerk performing more advanced non-routine varied clerical duties in accordance with standard procedures.

  • Multi-tasks performing activities such as photocopying, compiling records, filing, tabulating, posting information and scheduling appointments.

  • May perform general accounting and complete Sodexo financial reports according to Sodexo policy and procedures.

  • May perform accounting and financial functions for multiple units.

  • May perform other duties and responsibilities as assigned.

Visit our website at http://www.azdhs.gov Procurement Services Supervisor Planning and Operations JOB SUMMARY In accordance with the procurement authority delegated by the Chief Procurement Officer (CPO), and the Arizona Procurement Code, under general guidance from the Procurement Manager, the Procurement Services Supervisor oversees and directs the procurement operations. Procurement Services Supervisor provides an oversight to the Senior Procurement Specialists and guidance to the Procurement Specialists, assists in Assists in scope of work and specifications development, preparation and administration of formal and informal solicitations; reviews and approves various agreement types prepared by direct reports: Intergovernmental Agreements, Inter-agency Service Agreements, Competition Impracticable and Memorandum of Understanding, as needed, while ensuring State and Federal statutes and rules are followed. Procurement Services Supervisor oversees Senior Procurement Specialists and guides Procurement Specialists in contracts and proposals negotiations, and existing agreements re-negotiations; provides training and mentoring to direct reports; and identifies areas for improvement and implements recommendations for a more effective organization. RESPOBSIBILITIES INCLUDE: − Provides direct supervision, oversight, and guidance to direct reports with development and issuing Request for Proposal (RFP) Invitation for Bid (IFB), Request for Quote (RFQ), evaluation of proposals, negotiations and recommends contracts for award; reviews and executed direct contracts, reviews IGAs and ISAs; interprets contract terms and conditions. Drafts CPO's decision regarding protests and agency report to appeals. − Assists direct reports in compiling contract status reports, evaluation of contractor performance or quality of services, in-depth research and investigations of alleged contract violations and assist with their resolution. Assists direct reports in development and writing non-compliance action plans. Evaluates appropriateness of contract or agreement remedies in the light of a specific situation and act as liaison between contractor and Division staff. Audits and substantiates contractor's cost data, identify cost items for proper charging to the contract. − Provides direct supervision, oversight, and guidance to direct reports in negotiate contract or agreement terms to minimize performance risk. Audits contracts to identify process strengths and weaknesses and areas of non-compliance with regulations and policies. Consults with Attorney General's office in clarification of legal issues and the approval of contract language. − Mentors procurement staff and collaborates with Procurement Manager to identify and conduct training for colleagues at all levels within the organization. Tracks department metrics and performance. Develops continuous improvement plans.
