A student-centered, community and technical college located in the beautiful Northwoods of Wisconsin, Nicolet College is seeking a Support Specialist to join our team. The Support Specialist provides administrative support and coordination for all teams under the supervision of the Dean of University Transfer Liberal Arts and Science, this position is a member of the University Transfer Liberal Arts team. The Support Specialist will provide coordination and administrative support to the Dean, University Transfer Liberal Arts, and Early Childhood Education (ECE). The Support Specialist will use independent judgement and decision making appropriate to this position.(This list is not all-inclusive; other duties may be required and assigned.)

  • Assist the Dean of University Transfer Liberal Arts with calendar, budget, correspondence/communication, travel/meeting arrangements, and academic schedules.

  • Support the Dean in preparing course and curriculum related documentation.

  • Access/create reports on program-related data as requested by the Dean and faculty.

  • Monitor and process adjustments to departmental budgets and provide faculty with monthly budget reports.

  • Provide support to the University Transfer Liberal Arts and Early Childhood Education team including, but not limited to, ordering/maintaining supply inventory, supporting the onboarding and orientation of new faculty and adjuncts, assisting faculty and students if class cancelled, making classroom, college vehicle, and technology reservations, and creating a variety of documents as requested.

  • Create internal promotional and communication materials for the team.

  • Maintain program related information available on the Nicolet College website (UTLA specific program requirements/details documents).

  • Refine and maintain School of University Transfer

  • Liberal Arts page of the Nicolet College website, working with faculty in creating content.
  • Partner with faculty on the creation of a School of University Transfer
  • Liberal Arts newsletter to be distributed to district high school students and other audiences.'
  • Explore potential course equivalences between Nicolet College courses and that of other institutions.

  • Assist with the ongoing work of the UTLA data team and Academic Services teams in relation to Higher Learning Commission re-accreditation and records/process maintenance.

  • Assist students with questions/needs. Direct students with complaints to appropriate person or process.

  • Document and post faculty schedules including office hours for student reference each semester.

  • Cultivate and nurture a learning centered culture with the teams, College, and community.

  • Play a part in college level activities, projects, and committees, connecting us to Nicolet College students, staff, and faculty outside of the UTLA team.

  • Maintain collaborative relationships with external partners including technical college partners, district tribes, high schools, transcripted credit instructors, state office and other local/reginal agencies.

  • Hire, schedule train, mentor and supervise multiple work study students.

  • Plan coordinate departmental meetings and special events.

  • Schedule meetings and maintain records/communications for UTLA & ECE Advisory committees

  • Attend State called meetings as needed.

  • Help with various grant work, providing data and documentation as needed.

  • Maintain program related information available on the Nicolet college website (UTLA specific program requirements/details documents.

  • Function as back up for the Executive Assistant- Academic & Student Affairs and Chief of Staff for Nicolet College and Board of Trustees.

  • Ability to effectively use, or learn to effectively use, Worldwide Instructional Design System (WIDS), Power Campus, Argos, and the college's learning management System.

  • Ability to use discretion when managing sensitive information and situations.

  • Ability to manage stressful situations in a calm, courteous, and confidential manner.

  • Ability to foster and maintain positive working relationships across the College, in the district, and with external partners.

  • Knowledge and understanding of College organization, goals and objectives, and policies and procedures.

  • Ability to effectively interact with individuals of varied ages, learning styles, academic levels, and backgrounds.

  • Understanding of, sensitivity to, and appreciation for, the academic, ethnic, socio-economic, disability, and gender diversity of students attending Nicolet College

Required Qualifications:

  • Associate degree in related field and 2-3 years of work experience in an office setting is required.

  • Previous experience and proficiency working with MS Office applications at an intermediate or advanced level is required.

Preferred Qualifications:

  • Experience in higher education preferred.

  • The employee will be frequently required to stand, walk, touch/handle/grasp (using hands and fingers), and reach with hands and arms.

  • The employee must occasionally bend or squat and lift and/or push up to 25 pounds of general office items.

  • This position requires regular and punctual employee presence.

Compensation:

The typical starting pay range for this position is $ 23.91-$27.33 per hour, commensurate with qualifications and experience. Includes a comprehensive benefits package.
